Use office software and systems to ensure accuracy and efficiency while assisting staff in accordance with agency policies. Contribute to agency-wide process improvements and may support staff training.\r\n\r\n\r\nGeneral clerical duties\r\n\r\n\r\nUses multi-line telephone\r\n\r\nProvide reception coverage as needed\r\nProcess Paperwork related to program or service recipients (e.g., billing, case notes, etc.)\r\nData entry and tracking\r\nProcesses Purchase Orders\r\n\r\nSchedule and/or attend meetings, including Program Assistant meetings\r\n\r\n\r\nOversight program workflow\r\n\r\n\r\nAssists in management, data entry and maintenance of designated division records and student information systems\r\n\r\nCreate systems to share information with program or division staff\r\nProcess and disseminate information to program or agency staff\r\nMaintain and update all systems and processes for accuracy and as needs/requirements change\r\nLiaison to funders and/or other outside agency staff.\r\nRespond to inquiries or requests from students, participants, guardians, families or other agents, as necessary\r\nCreate and process necessary reports on a regular basis, or as needed\r\n\r\nGather eligibility and enrollment documentation\r\n\r\n\r\nSupport program supervisors and staff\r\n\r\n\r\nWork with program administrators to create, update and disseminate routine informational documents to program or agency staff\r\n\r\nCommunicate with program staff regarding regularly scheduled paperwork responsibilities\r\nAssist program staff with processing regularly scheduled paperwork responsibilities\r\n\r\nProcess a variety of paperwork required by associated referrers or funders (this may include, but is not limited to amendments, report cards, prescriptions, evaluation requests, enrollment paperwork, etc.)\r\n\r\n\r\nAssist in the development and implementations of SOPs\r\n\r\n\r\nWork with program administrators to create, and/or update SOPs\r\n\r\n\r\nDevelop SOP's as required.\r\n\r\n\r\nMonitor, develop and implement agency-wide systems and processes\r\n\r\n\r\nAssist in the development and implementation of agency-wide systems and processes (e.g., records management systems, reception)\r\n\r\nMonitor existing procedures and make recommendations for changes that would recognize greater efficiencies, by program or agency-wide\r\nKeep abreast of changing requirements, and make recommendations for modifications or revisions to existing practices, as necessary\r\n\r\nEDUCATION and/or EXPERIENCE:\r\n\r\nHigh school diploma or GED required\r\nMinimum one year experience in clerical capacity\r\n\r\nAt The Summit Center, you'll be part of a compassionate, highly trained team committed to empowering individuals to reach their full potential.
