By coordinating complex priorities and facilitating efficient information flow, the position enables senior leaders to focus on organizational strategy and business objectives.Responsibilities• Provide comprehensive administrative support, including calendar management, email, correspondence, reports, and executive communications.• Manage travel arrangements and coordinate logistics for executive leadership.• Prepare and maintain accurate records and minutes for Board meetings.• Attend critical meetings with the CEO, track action items, and follow up to ensure completion.• Manage complex executive calendars and proactively resolve scheduling conflicts.• Develop plans and schedules to support executive priorities and deadlines.• Conduct research and prepare statistical and financial reports to support strategic planning.• Manage and audit correspondence and documents requiring CEO or Board review.• Drive CEO initiatives from concept through completion.• Maintain executive records, Board minutes, corporate files, and other confidential documentation.• Coordinate leadership meetings, team meetings, reviews, town halls, and related events.• Manage company special events and vendor contracts while maintaining established budgets.• Oversee company insurance policies, renewals, and related administrative requirements.• Participate in or lead special projects and organizational initiatives as assigned.• Exercise sound judgment, emotional intelligence, and discretion in a fast-paced environment.• Maintain strict confidentiality and professionalism when handling sensitive information.• Perform additional administrative and department-specific duties as needed.Requirements• Bachelor’s degree in business or a related field plus 5 years of executive-level administrative support experience, or an equivalent combination of education and experience.• Preferred experience in project or program management.• Demonstrated ability to maintain strict confidentiality.• Ability to work independently, make sound decisions within established policies, and interact effectively with Board members, executives, employees, vendors, and external stakeholders.• Strong organizational skills, initiative, multitasking abilities, and attention to detail.• Proven ability to manage competing deadlines, reprioritize work, and respond effectively to disruptions.• Experience managing complex projects from planning through execution and implementation.• Strong business communication, grammar, and meeting-minutes transcription skills.• Professional demeanor, strong interpersonal skills, and sound judgment.• Ability to quickly learn new software and strong proficiency with Microsoft Office.• Strong systemic thinking and attention to detail.Pay Range and Compensation Package• The pay range and compensation package for this role will be determined based on the candidate’s experience, skills, qualifications, and other relevant factors.Equal Opportunity Statement: Our client is an equal opportunity employer.
