Faculty Affairs Administrator 2 (Remote Opportunity)
The Department of Psychiatry is seeking a Faculty Affairs Administrator 2 to provide administrative and operational oversight of programs for the Department including faculty affairs, departmental communications, and special programs associated with departmental missions. This position provides subject matter expertise in program areas, evaluates program policies and procedures, represents the programs within the Department and to the School of Medicine and ensures compliance with school and university policies.Key ResponsibilitiesFaculty Affairs & Search SupportProvide operational support to search/review committees and faculty mentoring/annual counseling activities; recommend process improvementsDocument and interpret policies and processes for appointment/promotion contributors (chair, faculty lead, and candidate); review and edit all sections with recommendationsTrack all search activities (e.g., collection of FASI data) and draft search reportsPrepare and finalize appointment/reappointment/promotion long form files, incorporating suggested changes from higher levels of reviewFaculty Management & CoordinationManage all Professoriate Emeriti recallsCoordinate rhythmic review of faculty affairs materials by DFA, Senior Associate Chair, and ChairPrepare offer letters for chair or dean, including gathering information from other offices as neededServe as primary point of contact for orienting new faculty to the department, school, and universityAdministrative Support & CommunicationsProduce and develop slide presentations for Chair and senior staff, including tables, graphs and data display in multiple formatsSupport Chair and senior staff with documentation and logistics for meetings, retreats, orientations, boot camps and other departmental eventsOther duties may also be assigned.Desired QualificationsEDUCATION & EXPERIENCE (REQUIRED)Bachelor's degree and three years of experience working with administrative processes, or combination of education and relevant experience.KNOWLEDGE, SKILLS AND ABILITIES (REQUIRED)High level of attention to detail and accuracyAbility to track, monitor and adhere to deadlinesAbility to learn university systemsExperience working with databases and Microsoft Office suiteExcellent communication skillsDemonstrated ability to act with tact and maintain confidentialityDemonstrated problem solving and analytical skillsDemonstrated ability to work well with Stanford colleagues and clients and with external organizationsDemonstrated commitment to personal responsibility and value for safety, shown through communication of safety concerns and use and promotion of safe behaviors based on training and lessons learnedCERTIFICATIONS & LICENSESNonePHYSICAL REQUIREMENTSFrequently perform desk-based computer tasks, frequently sitting, stand/walk, grasp lightly/fine manipulationOccasionally twist/bend/stoop/squat; reach/work above shoulders; grasp forcefully; use a telephoneRarely sort/file paperwork or parts, kneel/crawl, twist/bend/stoop/squat, lift/carry/push/pull objects that weigh up to 10 poundsConsistent with its obligations under the law, the University will provide reasonable accommodation to any employee with a disability who requires accommodation to perform the essential functions of his or her job.WORKING CONDITIONSOccasional extended hours.COMPENSATIONThis role is open to candidates anywhere in the United States. Stanford University has five Regional Pay Structures. The compensation for this position will be based on the location of the successful candidate. The expected pay range for this position is $85,283 to $101,782 per annum within the 10 Bay Area counties or $51,170 to $101,782 per annum for all other regions.Stanford University provides pay ranges representing its good faith estimate of the salary or hourly wage the university reasonably expects to pay for a position upon hire.
