The Incumbent will assist in the development, implementation, and management of T+OE programs related to talent, learning, leadership development, performance management, and employee engagement initiatives.The Program Coordinator will collaborate with team members to coordinate implementation and delivery of learning and development programs, ensure the smooth execution of live or virtual training sessions, and provide administrative and logistical support to enhance the overall experience for employees.Vertex anticipates developing and launching a variety of new or updated programs for our diverse audiences in the US and abroad (e.g. onboarding, leadership development training, mentoring, etc.).The Program Coordinator will manage a portfolio of projects that may include program communications, scheduling, and updating/developing materials, including classroom training, asynchronous learning modules accessed through the LMS, or live online training sessions.ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES: Assist in organizing and coordinating training sessions, workshops, and onboarding activities, as directed. This may include planning and logistics for virtual or in person sessions.Coordinate and manage logistics, such as venue, equipment, materials, and scheduling of programs and offerings, ensuring smooth execution. Most training programs and workshops will take place in our King of Prussia, PA office. Track expenses/budgets and assist in all aspects of vendor management including submission of, and tracking of Statements of Work (SOWs), purchase orders and invoices. Learn and utilize our Learning Management System (LMS), LinkedIn Learning platform, and future L&D technology acquisitions to record training sessions and participant attendance. Monitor and track employee training progress and completion in the LMS. Assist with technology setup and troubleshooting during virtual or in-person sessions.Assist in the facilitation of onboarding/learning/training sessions, as required, either in-person or virtually, ensuring participants are engaged and learning objectives are met. Maintain content and materials, including presentations, handouts, and online resources. Help set up standard approaches to materials management to ensure they are accessible and easy to findAssist in evaluating program effectiveness of Talent & OE programs, through compilation of survey data and reports.Establish and manage overall project plans, identifying and tracking key milestones, managing internal and external resources, and ensuring high-quality events.Support content creation and design as needed to move projects forward.Maintain productive relationships with all project stakeholders and project team members.Manage the involvement of external design vendors in the development of learning materials.Identify and track learning metrics to ensure ongoing effectiveness and quality of learning products, communicating with product owner if updates are needed.Occasional business travel may be required.KNOWLEDGE, SKILLS AND ABILITIES:Proficiency in Microsoft Office applications: Outlook, Teams, Word, and PowerPoint. SharePoint proficiency would also be beneficial. Experience with Learning Management Systems (LMS) and/or virtual training platforms, preferably with hands-on experience in administration.Strong organizational, time management, and attention to detail skills.Excellent verbal and written communication skills, with the ability to articulate information clearly and effectively. Demonstrated ability to work independently as well as collaboratively within a team setting.Flexibility to adapt to changing priorities and handle multiple tasks simultaneously while maintaining attention to detail.Experience working with cross-functional teams, across continents and time-zones.
