Office Assistant 2 - NY HELPS

Information Services Center Cover Position This position will independently cover the Information Services Center (ISC) for the majority of the time. Duties include answering phone and greeting visitors. Candidate must be prompt, courteous and helpful. Handle incoming mail and outgoing UPS and FedEx mailings. Troubleshoot for any issues with these that may arise. Coordinate arrangements for meetings, exams and other events and ensure adequate space, equipment, and furniture is available. Develop a procedures manual for covering the ISC for when other staff are covering. Maintain and update reference materials for fielding public inquiries. The ideal candidate for this position will have substantial knowledge in the agency's rules and regulations to answer public inquiries regarding hiking, hunting, fishing and environmental quality. Provide administrative support to the Division of Communication, Education, and Engagement. Assist the Division of Operations with data entry, scanning and other projects as assigned. Assist Recreation program with seasonal hiring paperwork and orientation appointments. Review employment applications Part 1 & Part 2, employee forms (retirement, health insurance, financial etc.) for completeness and accuracy. Serve as the point of contact for mobile field tablets for Regional staff. Maintain a sign-out sheet and ensure tablets receive software updates and are in good working order. Keep an accurate up to date manual and stay updated on ITS developments with the tablets to train staff on changes. Update written procedures pertaining to these devices as needed. Perform miscellaneous duties as assigned. Minimum Qualifications This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS). For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply. To be eligible for appointment under NY HELPS, candidates must meet the minimum qualifications below: One year of clerical experience. Additional ways to qualify: Reassignment - Currently in the title and an employee of DEC or Reinstatement Eligible - Previously held the title on a permanent competitive basis or held a title as indicated under the transfer eligible section on a permanent competitive basis. Transfer Eligible - One year of permanent competitive service at Salary Grade 7 or higher and: Eligible for transfer under Section 70.1: Permanent competitive service as an Office Assistant 2, Office Assistant 2 (Calculations), Office Assistant 2 (Keyboarding), Office Assistant 2 (Stores/Mail), Secretary 1.
