Member Service Coordinator - Ontario Clubhouse
TITLE: Member Service Coordinator - Front Desk (Regular PART TIME, Wage Employee)
REPORTS TO: Club Director
COMPENSATION: (Starting) $14.20/hr
HOURS: 20 to 25 Hours /Week
Age 21 and older.
PRIMARY FUNCTION:
The Member Service Coordinator (MSC) is responsible for checking members in and out using a Member Tracking System (MTS) program, and directing members to the appropriate activity within the club. The main priority of the MSC is to ensure safety of youth by ensuring the entrance area is supervised at all times. The MSC is also responsible for answering phones, providing information about the Boys and Girls Club Program to Parents, entering data into MTS, keeping the entryway clean and organized, and delivering excellent customer service. A good candidate must be able to multitask and be a positive role model! Bilingual preferred.
KEY ROLES (Essential Job Responsibilities):
Parent and Member Customer Service
Build positive relationships with all members and create a good report with parents
Answer questions about BGCWTV program and membership to parents and interested parties
Manage the safe and efficient transition of members between arrival and departure to the Club
Communication Management
Communicate and model the club values of respect, responsibility and integrity
Answer telephone calls and return any missed calls, emails, and voicemails promptly
Communicate any upcoming events or important information regarding members or the program to parents
Data Entry and Management
Collect payment for new and renewing memberships and responsibly handle all money coming in
Enter data from membership forms into MTS and file hardcopy
Ensure that all membership files are accurate and up to date
Cleaning and Facility Maintenance
Accomplish assigned daily cleaning tasks
Ensure that entryway is organized and that flyers and applications are always available at the front desk
ADDITIONAL RESPONSIBILITIES:
Attend monthly staff meeting and additional staff development trainings.
Scanning and filing.
Other duties as assigned
RELATIONSHIPS:
Internal: Maintain close, daily contact with Club members, Club staff (professional and volunteer), Club parents, and supervisor to receive/provide information, discuss issues, explain or interpret guidelines/instructions; instruct, and advise/counsel.
External: Maintain contact with Club Director as needed to foster community relations.
SKILLS/KNOWLEDGE REQUIRED:
A minimum of one year prior work experience in a formal work setting.
Strong communication skills, both verbal and written. Bilingual preferred.
Group leadership skills, including an understanding of group dynamics.
A positive attitude, integrity, and interest in helping youth become successful adults.
Willingness to obtain CPR and First Aid Certifications (provided).
Attention to detail
One year of work experience in a Boys or Girls Club or similar organization, or in Customer Service field preferred.
