The Program Coordinator delivers responsive customer support to certification program candidates and participants and ensures the smooth day-to-day functioning of the program. This role maintains digital content and platforms (SharePoint, program website), manages participant and credentialing data systems, coordinates recurring meetings and communications, and supports reporting, records management, and compliance activities, including working with agency-designated points of contact who review and approve participant enrollment requests. The ideal candidate is highly organized, detail-oriented, and comfortable managing multiple concurrent workstreams across administrative and technical domains.\n\nJob Title: Program Coordinator\n\nLCAT: Stakeholder Support Specialist\n\nLocation: Hybrid - Remote / Linthicum, MD\n\nOperating Hours and Expectations: This position has flexible hours; generally, 8am-5pm; primarily remote, one day a week onsite in Linthicum, MD\n\nSecurity Clearance: An active Secret clearance is required\n\nPosition Type: Full-time\n\nSalary Range: $95,000-115,000\n\nKey Responsibilities:\n\nCommunications & POC Coordination\n\nAdminister program email mailboxes, including monitoring, categorization, tracking, and timely routing of correspondence.\nMaintain distribution lists for agency and component POCs.\nSupport the agency and component POC appointment and resignation process, including documentation and tracking.\n\nData & Participant Management\n\nMaintain and manage the participant database, tracking enrollments, progress, and engagement metrics.\nSupport participant record and data migration efforts, ensuring data integrity and continuity across systems.\nAdminister the Learning Management System (LMS), including user access, assessment enrollments, and certification/credential tracking and reporting.\n\nDigital Platform & Publications Management\n\nMaintain and update the program's SharePoint site, website, and related digital platforms to ensure content is current, accurate, and accessible.\nManage publications maintenance, including ongoing updates and quarterly reviews to ensure accuracy and compliance with program standards.\n\nMeeting & Event Support\n\nProvide comprehensive meeting support, including recording, roll call, minutes/transcript preparation, and distribution.\nMaintain and manage logistics for recurring virtual and in-person meetings.\nUpdate and maintain presentation materials.\nSupport and attend recurring meetings, providing administrative coordination as required.\n\nRecords Management & Reporting\n\nOversee records management in accordance with program and organizational policy.\nConduct monthly policy scans and tracking; prepare and submit monthly status reports.\nProcess program appeals and waivers in accordance with established procedures and timelines.\n\nQualifications:\n\nRequired:\n\nBachelor’s degree and five (5) years of experience, or associate degree and seven (7) years of experience, in providing program support.\nStrong data management skills, including experience maintaining databases and tracking systems (e.g., enrollment, progress, engagement).\nExcellent written and verbal communication skills, including minute-taking and meeting documentation.\nProven ability to manage multiple administrative workstreams simultaneously with strong attention to detail.\nExperience supporting recurring virtual and in-person meetings/events, including logistics upkeep and materials preparation.\nProficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams).\nStrong organizational and time-management skills.\nComfort serving as a liaison with external stakeholders on administrative processes.\n\nDesired:\n\nExperience with Microsoft SharePoint administration and/or website content management.\nExperience administering a Learning Management System (LMS), particularly enrollment and certification/credential tracking.\nExperience with program/data migration projects.\nFamiliarity with policy scanning, compliance tracking, or regulatory reporting processes.\nPrior experience supporting government, federal, or large institutional programs.\nExperience with distribution list management and stakeholder/POC coordination.\nWorking knowledge of database or reporting tools.\nExperience supporting meetings or briefings.\n\nAbout Pherson: Pherson was founded in response to requests for analytic, instructional, and management support from the Intelligence Community.
