Our mission is to maintain seamless financial workflows, meticulous reporting, and high-efficiency administrative standards across multiple properties and private accounts.We are seeking a dedicated Office Manager & Bookkeeper to manage our essential day-to-day functions. This full-time, in-office position oversees accounts payable, banking, and comprehensive bookkeeping. Acting as a central point of contact, the successful candidate will collaborate with internal stakeholders and external CPA partners to ensure fiscal integrity and robust administrative support.Key ResponsibilitiesFinancial OperationsManage accounts payable and process payments for property and personal obligations, including property maintenance, repairs, taxes, insurance, and recurring chargesReconcile bank and credit card accounts, monitor refunds/credits, and ensure timely fund availabilityMaintain secure bank and financial system access with documented permissionsWork in QuickBooks and Dext Receipt Management, collaborating with an external CPA firm for audits, reconciliations, and reportingPrepare financial reports and statements for review by management and EAEnsure proper approvals for all payments and transactionsOffice AdministrationMaintain an in-office presence for deliveries, office supplies, and general upkeepManage office cleanliness, stocking, plants, and lounge areasSupport guest needs and office events (e.g., lunch setup/tear down)Coordinate with property management vendors on work orders and maintenance issuesAssist with seasonal and holiday office décor and general administrative tasksRequirementsHigh School Diploma or equivalent; Bachelors degree preferred5+ years of experience in finance, bookkeeping, office administration, or a combined roleHands-on experience with QuickBooks or similar accounting software preferredStrong organizational, multitasking, and communication skillsAbility to work with sensitive financial and personal information with discretionProficiency in Microsoft Office (Excel, Word) and familiarity with receipt management toolsPrevious experience managing both personal and business accounts or multi-entity accounting is a plusAs part of our hiring process for positions with financial responsibilities, all candidates who receive and accept an offer of employment will be required to successfully complete a comprehensive background screening.
