The role includes providing administrative and logistical assistance for scholarship programs managed by Amideast. Key responsibilities include coordinating communications with students, compiling reports and managing data, maintaining an alumni database, and supporting outreach and promotional efforts through social media and other external communication channels. These programs serve undergraduate and graduate students from the MENA region studying in the United States.The successful Program Assistant is an efficient, detail-oriented multi-tasker who can prioritize, and complete tasks effectively as assigned by the Director of Programs and Program Officers.ResponsibilitiesScholarship Administration Assist in program administration by corresponding with students, drafting student sponsorship letters, mailing payments and immigration documents, and providing other administrative support as needed Assist in maintaining database records of students’ financial, academic, and biographical information In close cooperation with Program Officers, Regional Finance, and Accounting teams assist in collecting, recording, and tracking university payments for sponsored students Assist Program Officers in gathering and organizing data for reports to donors and stakeholders, ensuring timely and accurate submissions Liaise with students and Amideast’s authorized vendors to arrange student travel Review student correspondence and flag relevant information for the Program Officers as necessary Perform other administrative tasks as requiredAlumni Tracking Support efforts to track and consolidate alumni records for Amideast scholarship programs and input alumni information into Amideast’s alumni databaseOutreach and Communications Support Serve as the primary point of contact with Amideast’s communications team, providing timely and relevant information for social media and outreach materials Assist in the preparation of promotional content, such as program flyers and program highlights, for external communication purposesRequiredQUALIFICATIONS AND SKILLS Bachelor’s degree A minimum of 1 year of experience in program administration, student services, or a related field, preferably with a focus on international education or scholarship programs Strong organizational and time management skills, with the ability to handle multiple tasks and meet deadlines Excellent written and verbal communication skills, with a keen attention to detail and accuracy Ability to work both independently and collaboratively within a team, demonstrating initiative and problem-solving abilities Cultural sensitivity and an understanding of issues facing international students, especially those from the MENA region, is highly desirable Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)Preferred Proficiency in Canva Experience working with databases Familiarity with social media and external communications for outreach purposes is a plusWORK ENVIRONMENTThe incumbent in this position will work in a professional office environment and will utilize the following equipment when working from the corporate office or remote home office (on a hybrid basis).
