Job Summary
The Coordinator’s Assistant supports the Operations Coordinator and Office Manager by managing essential front-office, recruiting, and onboarding functions to ensure smooth daily operations during our peak season. This role is primarily focused on answering phones, managing applicant flow, scheduling and conducting interviews, onboarding new hires, and maintaining accurate personnel and office records.
This position plays a vital role in ensuring Imperial Ice is fully staffed, organized, and responsive during our busiest months. The ideal candidate is professional, organized, people-oriented, and comfortable handling confidential information while working in a fast-paced environment.
Key Responsibilities
This role reports to the Operations Coordinator. Responsibilities focus on phone support, hiring coordination, onboarding, and office administration, including collaboration with warehouse and route leadership.
Administrative & Front-Office Duties
Answer incoming phone calls, direct calls appropriately, and take accurate messages
Greet and assist applicants, employees, and visitors in a professional manner
Monitor and respond to general office emails or route them as needed
Handle mail: sort, distribute, and prepare outgoing correspondence
Maintain office filing systems, databases, and internal contact lists
Perform clerical tasks such as scanning, copying, typing, and document management
Monitor and replenish office supplies
Support basic office organization and daily administrative needs
Hiring, Recruiting & Onboarding Responsibilities
Review and manage incoming job applications across hiring platforms
Communicate with candidates regarding application status
Schedule interviews and coordinate calendars with management
Conduct initial interviews and assist with hiring decisions
Coordinate onboarding for new hires, including:
New hire paperwork and documentation
Policy acknowledgements and onboarding checklists
Coordination with supervisors for start dates and training
Maintain accurate employee onboarding records and personnel files
Assist with offboarding paperwork when needed
Serve as a point of contact for new hires during their onboarding period
Operational Support
Collaborate with the Warehouse Manager and Route Supervisor to support staffing needs
Assist with preparing reports, schedules, and meeting agendas related to staffing and operations
Manage multiple tasks and deadlines in a seasonal, fast-paced environment
Support special projects related to staffing, scheduling, or internal processes
Requirements
Proven experience in office administration, recruiting coordination, or a similar role
Strong organizational and time-management skills
Excellent communication and interpersonal skills
Comfortable conducting interviews and handling confidential information
Ability to manage multiple priorities during peak season
Integrity, accountability, and professionalism
Flexibility to work weekends or be on-call as needed during the season
Valid driver’s license and clean driving record preferred
Preferred Qualifications
2+ years of experience in office administration, HR support, or recruiting
Experience reviewing applications and conducting interviews
Familiarity with onboarding processes and employee documentation
Proficiency with Microsoft Office (Word, Excel, Outlook)
Experience in a manufacturing, distribution, or seasonal workforce environment a plus
Work Environment
Office-based with occasional warehouse interaction

Part-time schedule with increased activity during peak months
On-call availability as needed during busy periods
