Stakeholder Management & Influence\r\nShared services often centralize functions that used to belong to different departments so expect resistance.\r\nAbility to align conflicting interests across business units\r\nStrong negotiation and influencing skills (especially without direct authority)\r\nClear communication tailored to executives, managers, and frontline teams\r\nThis is arguably the most critical skill without buy-in, the model fails.\r\n2. Change Management Expertise\r\nYou’re not just implementing a model you’re changing how people work.\r\nExperience with structured change frameworks (like ADKAR or Kotter)\r\nAbility to anticipate resistance and manage it proactively\r\nBuilding training, communications, and adoption plans\r\n3. Process Design & Optimization\r\nShared services rely on standardized, efficient processes.\r\nStrong understanding of process mapping and redesign\r\nIdentifying redundancies and opportunities for consolidation\r\nFamiliarity with Lean or Six Sigma concepts is a big plus\r\n4. Governance & Operating Model Design\r\nA shared services model needs clear rules to function.\r\nDefine roles, responsibilities, and decision rights\r\nEstablish SLAs (Service Level Agreements) and KPIs\r\nDesign escalation paths and accountability structures\r\n5. Financial & Business Acumen\r\nYou need to justify and sustain the model.\r\nBuilding business cases (cost savings, efficiency gains)\r\nUnderstanding cost allocation models (chargebacks, showbacks)\r\nTracking ROI and performance over time\r\n6. Program & Portfolio Management\r\nThis is rarely a single project, it’s a multi-phase transformation.\r\nManaging interdependent workstreams (HR, IT, Finance, etc.)\r\nPrioritization and roadmap planning\r\nRisk and dependency management at scale\r\n7. Data-Driven Decision Making\r\nShared services thrive on measurable performance.\r\nDefining meaningful KPIs and dashboards\r\nUsing data to identify bottlenecks and improve services\r\nComfort with reporting tools and analytics\r\n8. Technology & Systems Awareness\r\nTechnology is often the backbone of shared services.\r\nUnderstanding ERP systems, ticketing tools, automation platforms\r\nCollaborating with IT on system integration and standardization\r\nAwareness of RPA (Robotic Process Automation) and AI opportunities\r\n9. Communication & Storytelling\r\nYou’ll need to continuously “sell” the value of shared services.\r\nTranslating complex ideas into simple, compelling messages\r\nCreating executive-ready presentations\r\nKeeping teams aligned through consistent messaging\r\n10. Emotional Intelligence & Leadership\r\nPeople may feel like they’re losing control or jobs.\r\nEmpathy and active listening\r\nManaging uncertainty and morale\r\nLeading through ambiguity and organizational tension\r\nThe Big Picture\r\nA project manager in this space isn’t just executing tasks, they’re acting as a transformation leader. The ability to balance structure (process, governance) with people (change, communication) is what separates successful implementations from failed.
