SUMMARY: The Service Advisor is primarily responsible for initiating automotiveservices provided at 5 Star Automotive Services. The Service Advisor is responsible forhaving detailed knowledge of vehicles and is responsible for initial contact with customersregarding performance and services provided leading to the success of 5 StarAutomotive, including verifying warranty and service contract information, preparingestimates, writing repair orders, completing customer records and customer service, etc.The Service Advisor must have a strong background in selling or installing auto parts orserved as an auto mechanic, or related field. The Service Advisor will assist theAutomotive Mechanic and auto detailer in directing the activities of the VehicleMaintenance Facility to ensure maximum revenues, effectiveness and profitability, whileensuring customer satisfaction. The Service Advisor will work with the AutomotiveMechanic and staff to meet the budget and performance goals.II. ESSENTIAL DUTIES and MINIMUM QUALIFICATIONS:1. Serves as the liaison between the customer and the Automotive Mechanic and autodetailer.2. Prepares estimate of cost of service or repair and coordinates work with 5 StarAutomotive staff.3. Prepares repair and service orders based on customers' requirements and ordersnecessary parts and schedules service or repairs based on customers' need.4. Responsible for contacting customers when work order is completed or if additionalwork is needed beyond the original estimate.5. Responsible for the positive image of the facility and promoting its purpose in thecommunity, including, but not limited to: customer service, facility appeal,professional repair, overall facility presentation, overall general cleanliness, etc.6. Maintain the agency's vehicle fleet by utilizing a well-developed preventativemaintenance program with approved vendors.7. Must be able to perform Lifting and Transferring techniques as trained and passperformance testing. The employee may occasionally lift and/or push and pull up to100 lbs. Lifting may require floor to waist, waist to shoulder, or shoulder to overheadmovement.8. Driving of agency vehicles as necessary for transportation of clients and agencybusiness as assigned. Must also be able to safely drive customer vehicles.9. Must, with or without reasonable accommodation,2★ Able to regularly sit, walk, stand, climb up and down stairs, physically restrain clientspursuant to training (when necessary) and sit at a computer for long periods of timeand repeat the same hand, arm, or finger motion many times (typing, data entry).★ Communicate through speech with individuals in service and public in both quiet andnoisy environments.★ Operate a personal computer and related software.★ Tolerate various levels of stress and meet deadlines with severe timeconstraints.★ Demonstrate specific vision abilities which include close, distance, and depthperception and able to read handwritten or typed material, and able to adjust focus.★ Work and concentrate in both noisy and quiet environments.★ Squat, stoop, kneel, and reach above the head. Forward motion will occasionally berequired.★ Work inside the building a majority of the time.10. Essential Duties include the Physical Demands listed below.ADDITIONAL DUTIES AND RESPONSIBILITIES:11. Maintain agency transportation procedures to meet local and state regulatoryrequirements and update as necessary.12. Perform routine vehicle monitoring to inspect for safety hazards and report issues tosupervisor.13. Maintain a file for each vehicle to include any preventive maintenance, repairs,accident reports, monthly mileage or any additional pertinent data and informationdeemed necessary by using agency software program.14. Maintain vehicle licenses and registration for the entire agency vehicle fleet.15. Create and maintain vehicle inspection logs and report findings and trends toappropriate personnel.16. Notify supervisors of vehicle misuse or neglect by staff.17. Purchase and maintain vehicle supplies such as washer wiper fluid, oil, ice scrapers,etc.18. Work with Colorado Department of Transportation (CDOT) to secure grants andvehicle procurement, including working with CDOT vendors.19. Complete CDOT reports and grant closure repots for all vehicles purchased withCDOT grant funds to maintain compliance.20. Teach monthly Transportation and Defensive Driving class for new hires.21. Drive agency vehicles for various transportation routes throughout the area, asneeded.22. Maintain fuel cards and personal identification numbers for each vehicle and eachemployee.23. Develop and maintain professional relationships with vendors and regulatoryagencies.24. Perform direct support duties and responsibilities, as needed.25. Create and maintain procedural manual for duties performed in this position.26. Provide and accurately translate customers' problems or instructions related to theirvehicle(s) to 5 Star Automotive staff and communicate the vehicle issues, costs andsolutions back to the customer.27. Provide accurate list of replacement parts needed to meet work orders.328. Review warranties and extended warranties on vehicles to determine if repairs arecovered.29. Ensure customers' servicing and routine maintenance is scheduled and completed ina timely manner by contacting customer for reminders and to scheduleappointments.30. Maintain shop equipment and tools in good condition.31. Observe all OSHA and safety precautions and regulations for protections againstaccident, dangerous fluids, chemicals, etc.32. Prepare vehicle records and reports.33. Responsible for cash & credit card handling processes and procedures and ensuringdaily transactions and funds balance.34. Assist with minimal supervision of individuals and staff on shift.35. Maintain and follow Inspiration Field and 5 Star Automotive Services policies andprocedures at all times.36. Operate a cash register, reconcile cash with sales receipts, keep record of financialtransactions, schedule employees, reporting, etc.37. Responsible for following local, state and federal requirements related to automotiverepairs, including maintaining all facility data and compile reports as required.38. Responsible for working with staff, interns, work study students, and volunteers.39. Develop, oversee, and actively promote customer service to strengthen customerrelationships and build customer loyalty.40. Establish, oversee, and implement inventory control procedures.41. Safeguard all agency funds and property.42. Participate in staff training activities and staff meetings, as outlined in the agency'sstaff development curriculum.43. Work flexible schedules or within various environments as agency and supervisordeems necessary. Staff attendance and promptness to assigned shifts is essential.The responsibilities of this position may require staff to be able to work irregular,extended, and/or be available for evenings, nights, weekends, holidays, etc.44. Follow agency procedures when purchasing items on behalf of the agency.45. Follow agency policies and procedures in carrying out duties.46. Advise supervisor and/or the Chief Executive Officer (CEO) of concerns andproblems that arise within the agency.47. Performs other duties as assigned by the Automotive Mechanic, CEO, and/ordesignee.48. Other reasonable duties as may be assigned.QUALIFICATION REQUIREMENTS: The requirements listed below are representative of theknowledge, skill, and/or ability necessary for success. An individual must be able to performeach essential duty satisfactorily.MINIMUM/PREFERRED QUALIFICATIONS:Minimum: This position requires a high school diploma or GED. Three years demonstratedexperience working in the automotive repair or auto parts sales and distribution industry orsimilar field. Computer knowledge and experience with word processing, database, andspreadsheet programs. Must be at least 18 years of age. Persons hired into this positionmust be licensed drivers and have reliable transportation. If current license is from out-of-state, a valid Colorado Driver's License is required within ten days of hire. Background4check, drug and alcohol check, reference check, and motor vehicle checks must be passed.Current motor vehicle insurance is required. Driving is an essential job duty.Preferred: ASE Certified or associates degree in automotive technology and one year ofdemonstrated experience working in automotive industry.PHYSICAL DEMANDS: The physical demands described here are representative of thosethat must be met by an employee to successfully perform the essential functions of this job.While performing the duties of this job, the employee will regularly sit, walk, and stand.Occasionally, movement that requires twisting at the neck and/or trunk more than the averageperson, squatting/ stooping/kneeling, reaching above the head, forward motion and laying inprone position will be required. The employee will continuously be required to repeat thesame hand, arm, or finger motion many times. Manual and finger dexterity are essential tothis position. Specific vision abilities required by this job include close, distance, depthperception and telling differences among colors. The employee must be able tocommunicate through speech with clients and public. Hearing requirements includeconversation in both quiet and noisy environments. The employee will occasionally lift and/orpush and pull up to 100 pounds. Lifting may require floor to waist, waist to shoulder, orshoulder to overhead movement. This position demands tolerance for various levels of stress.WORK ENVIRONMENT: The work environment characteristics described here arerepresentative of those an employee encounters while performing the essentialfunctions of this job.The noise level in the work environment is usually moderate to loud. Able to interpret avariety of instructions furnished in written, oral, diagram, or schedule form. Able to defineproblems, collect data, establish facts, and draw valid conclusions.5III. SUPERVISORY RESPONSIBILITIES:The Service Advisor may also work closely with the Automotive Mechanic. In general, thisposition requires that the individual work independently approximately 90% of the time. TheService Advisor may report to dual supervisors.IV. OTHER SKILLS and ABILITIES:Able to work with others, with system issues, and able to work within designated time frames.Patience in dealing with customers, individuals in service, and staff. Able to develop effectiveworking relationships with customers, individuals in service, and the community. Goodcommunication skills and able to work with others as a team is a must.
