I. Job Summary We are seeking a friendly and detail-oriented Office Manager to join our team. The ideal candidate will be responsible for acting as a billing specialist, office manager, and assisting the head of company, foreman, and laborer in completing various tasks. You will also be asked to complete basic-intermediate accounting and bookkeeping practices. While we are a construction company, you will not be on the sites on a regular basis. Majority of work is completed in office. We are a small business, so everyone is expected to put equal amount of work in to ensure that Stuart Home Corporation can function smoothly and efficiently. II. Duties Balance several bank accounts weekly Schedule meetings with clients and contractors for head of company & operations manager Accounts receivable/payable Prepare accounting reports Enter data in budgets for all projects Handle incoming and outgoing correspondence through email, phone, and text Provide administrative support to ensure efficient operation of the office Assist with filing both digital paperwork and physical paper copies of important documents Assist with keeping office tidy At times assist office admin./operations manager/head of company with duties as needed Complete basic accounting spreadsheets as directed Handle matters regarding builders risk and general liability insurance III. Skills Proficient in physical and digital file management and organization Must be knowledgeable in completing budgets and financial record keeping through excel Must be able to provide excellent customer service to clients Exceptional clerical skills with attention to detail Previous experience working in construction bookkeeping Must be QuickBooks efficient (online version) Excellent time management skills Ability to multi-task efficiently Bilingual Eng/span (preferred but not required) Customer service IV.
