Position Type:Secretarial/Clerical/SecretaryDate Posted:4/13/2026Location:LASECDate Available:05/01/2026Closing Date:ASAPDistrict:Lockport Area Special Education CooperativeDescription: Part-time Program Secretary/Receptionist (4 hours per day); 10 month positionJob Summary: Specific Duties: ReceptionistGreet and assist the public, staff, and visitors in a professional and courteous manner.Assist in central office related tasks related to the functioning of the Cooperative (mail, supplies, phone calls, etc.).Maintain and LASEC central office calendars (including meeting spaces).Maintain organization and cleanliness of the reception area.Specific Duties: Child Find/Early Childhood SecretaryArrange parent conferences and annual review meetings.Maintain appointment calendars for Early Childhood Coordinator and Child Find Diagnostician.Coordinate appointments for DIAL screenings.Prepare and schedule monthly DIAL screenings.Provide clerical and organizational support to the Child Find Team.Coordinate transition meetings with Early Intervention for students turning age 3, including scheduling with staff and parents.Specific Duties: R.E.S.A. ReferralsRecord and track all referrals from schools and individuals.Review referrals for accuracy and completeness prior to processing.Distribute referral information to appropriate Cooperative personnel.Specific Duties: TransportationCoordinate new student transportation starts.Process cancellation notifications.Coordinate transportation for field trips.Respond to parent transportation concerns and complaints.Process and maintain accident reports.Specific Duties: Data, Billing, and ReportingReview class lists, dates, and services for quarterly billing accuracy.Distribute billing lists to HI, VI, OT, and PT staff for verification of student minutes.Prepare Medicaid reports as needed.Specific Duties: Attendance and Sub CallingMonitor attendance line beginning early morning hours and coordinate substitute coverage.Contact substitutes for open positions.Notify office staff of absences and coverage via communication systems.Record daily attendance and substitute assignments.Prepare and distribute daily absence reports.Specific Duties: Communication and DocumentationPrepare and send monthly IEP meeting notices to parents and districts.Prepare and distribute PLAY-BASED assessment letters to families.Send student records to districts for permanent file inclusion, ensuring proper documentation and signatures.Check and distribute incoming faxes.Specific Duties: Records and File ManagementMaintain binders for OT/PT referrals.Collect and organize incident reports.Collect and maintain field trip and transportation documentation.Maintain emergency forms for each classroom.Prepare and distribute student play-based folders with reports.Specific Duties: Miscellaneous DutiesPerform general office duties as assigned.Utilize Cooperative duplicating services as needed.Assist with substitute calling as needed.Maintain Board Room calendar.Assist with staff recognition items (celebrations).Qualifications: High School diploma with some college experience preferred. Must be comfortable with using computers, word processing and other software. Preference will be given to candidates who have experience working in special education office environments.
