We are looking for an experienced Executive Assistant to support the CEO, CFO and Chief Medical Officer. The role demands exceptional organization, discretion and the ability to manage complex calendars and travel across multiple time zones. The ideal candidate thrives in a fast‐paced, collaborative environment and can multitask independently. Essential Duties & Responsibilities Provide comprehensive administrative support to the CEO, CFO and Chief Medical Officer, including prioritization of daily activities and strategic alignment of schedules. Manage complex and frequently changing calendars across multiple time zones. Coordinate internal and external meetings, board engagements, investor meetings, regulatory discussions, clinical advisory sessions and leadership meetings. Anticipate scheduling conflicts and proactively resolve issues to optimize executive time and productivity. Plan and coordinate executive meetings, including in‐person, hybrid and virtual sessions (Zoom, Teams, webinars, etc.). Serve as a liaison between executives and internal/external stakeholders, including board members, investors, healthcare professionals, regulatory bodies and cross‐functional teams. Arrange complex domestic and international travel for executives, including detailed itineraries, flights, accommodations, transportation and related logistics. Coordinate travel for board meetings, investor events, medical congresses, clinical site visits, conferences and leadership off‐sites. Manage last‐minute travel changes with efficiency and discretion. Prepare and process expense reports and ensure compliance with company policies. Track and manage invoices, vendor communications and other administrative documentation as needed. Support coordination of company‐wide meetings, town halls, medical education programs and leadership off‐sites. Assist with special projects and strategic initiatives assigned by the executive team. Maintain strict confidentiality in handling sensitive corporate, financial, clinical and personnel matters. Office Location – Newport Beach (Headquarters) – the role is typically hybrid: remote on Mondays and Fridays, in‐office Tuesday through Thursday; additional in‐office days may be required. Other duties as assigned. Qualifications & Skills Bachelor's degree or equivalent work experience. 7+ years of experience supporting C‐level executives, preferably multiple executives simultaneously. Proven experience coordinating complex domestic and international executive travel. Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); experience with Apple products and collaboration tools (Teams, Zoom). Exceptional organizational and time‐management skills with the ability to manage competing priorities. High level of professionalism, executive presence and discretion. Strong written and verbal communication skills. Meticulous attention to detail with commitment to high‐quality output. Proactive mindset with strong critical‐thinking and problem‐solving abilities. Ability to work independently with minimal supervision while exercising sound judgment. Adaptable and calm under pressure in a dynamic, highly regulated, and high‐demand environment. Collaborative and team‐oriented with strong interpersonal skills. Ability to tolerate stress and maintain composure in demanding situations. Demonstrated ability to handle confidential and sensitive information with integrity. Compensation & Total Rewards The position is Non‐Exempt & Exempt. Expected hourly pay: $43.27 /hr to $52.88 /hr. Eligible for an annual bonus compensation plan, 401(k) match, and potential new‐hire equity and long‐term incentives (RSUs, stock options, discretionary bonuses).
