Accounts Payable Clerk
Job SummaryThe Accounts Payable Clerk is responsible for managing assigned workload of vendor invoices by receiving, coding and processing for a timely payment. The position must be able to communicate with vendors to ensure a positive relationship and accurately process invoices to succeed.Core ResponsibilitiesInvoice processing - Receiving and reviewing invoices from vendors, matching them to purchase orders, verifying accuracy of pricing and quantities, and coding invoices for proper accounting entry. Data entry - Entering invoice details into the accounting system, including vendor information, invoice amounts, and due dates. Invoice discrepancy resolution - Identifying and investigating discrepancies between invoices and purchase orders, contacting vendors and/or working with Purchasing to resolve issues. Account reconciliation - Reconciling vendor statements with the company's accounts payable records to identify any discrepancies. Vendor communication - Responding to vendor inquiries regarding invoice status, payment issues, and account balances. File maintenance - Maintaining organized records of invoices, purchase orders, and payment documents. Reporting - Generating accounts payable reports for management review, including aging reports and outstanding balances as needed.Required SkillsStrong attention to detail - Essential for accurately verifying invoice information and identifying errors. Numerical proficiency - Ability to perform basic math calculations and understand financial data. Organizational skills - Efficiently managing a high volume of invoices and maintaining accurate records. Computer literacy - Proficiency in accounting software for data entry and report generation. Communication skills - Effectively interacting with vendors and internal departments to resolve issues. Knowledge of accounting principles - Understanding basic accounting concepts like debits, credits, and general ledger.Work ExperienceMinimum of 2 years of accounts payable processing experience preferred. Similar administrative coding experience acceptable if knowledgeable of accounting process.
