Duties: Performs complex administrative support duties for the Berrien County Road Department.Prepares, proofreads, and coordinates print-ready documents, including letters, memos, reports, forms, and charts.Serves as the primary contact for visitors and phone inquiries by providing information and directing requests appropriately.Receives, sorts, and distributes departmental mail.Handles confidential internal and external information and records.Reviews and pre-screens employment applications, prepares payroll-related documents, and maintains federal compliance requirements for Commercial Drivers, including database management and annual limited and full queries during the hiring process.Updates and maintains the Road Department Policy and Procedure Manual.Assists with weekly project and departmental activity reports in coordination with the Communications Coordinator.Coordinates office supply orders, prepares bid documents for Finance Department review, and provides backup support for office staff as needed.This description is intended to illustrate the type and level of work being performed by persons assigned to this job. Education and Experience: Associate degree in a related field, and two years of progressively more responsible clerical/secretarial work; ORHigh school diploma or equivalent; and a minimum of four years of progressively more responsible clerical/secretarial work. Required Knowledge and Skills: Demonstrated ability to communicate effectively with the public, governmental agencies, and staff both orally and in writing.Highly organized with strong attention to detail and accuracy in maintaining records.Advanced proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.Maintains a high level of professionalism and discretion when handling confidential information.
