We are dedicated to helping clients achieve their financial goals through comprehensive planning.We are seeking a highly organized, personable Client Services Administrator to support office operations, client experience, and marketing initiatives. This role plays a key part in ensuring clients and prospects feel welcomed and well taken care of while helping the team stay organized and efficient.This is a team-oriented position where you will work with advisors and staff to support day-to-day operations. The role includes both busy and slower periods, so the right person is proactive, able to identify priorities, and stays productive by supporting the team, following up on outstanding items, and helping improve organization and processes.What you’ll do:Client Experience & Administrative Support:Serve as a friendly, professional first point of contact for clients—both in-person and over the phoneSchedule and reschedule appointments as needed and monitor the schedule for cancellations or no-shows and help fill openings when possibleDeliver a seamless onboarding experience for new clients, ensuring personalized attention and exceptional service at every stepSupport clients in successfully logging into and navigating the client portal, addressing questions and troubleshooting issues as neededMonitor and track pending service work, ensuring clients receive personalized update calls regarding the progress of their requestsMaintain the firm’s CRM system (Wealthbox) through accurate data entry and database managementConduct outreach to new leads when needed and collaborate with the Business Development Manager on initial contact, as well as follow up with clients and prospects to support ongoing relationship developmentAssist with marketing initiatives by monitoring digital campaign performance and activity ratesEvent Planning & Coordination:Assist with planning, coordinating, and executing client events and seminars, supporting the team to ensure their successAssist with guest communications, registrations, and RSVPsSupport event setup, breakdown, and on-site logistics tasksSupport marketing efforts by tracking basic activity and reporting what’s workingProactive Contribution:Take initiative during slower periods by organizing systems, following up on outstanding items, and preparing for upcoming client needsLook for opportunities to improve processes, organization, and overall efficiencyStep in to support the team wherever help is neededWhat We’re Looking For:1+ years’ of relevant experience strongly preferredDemonstrates strong proficiency and confidence working across various platforms and operating systems; CRM (Wealthbox) and Microsoft Office SuiteExcellent communication; written and verbalSelf-starter who takes initiative and works well independentlySkilled in building strong, trust-based relationships with clients by providing attentive, personalized service and guidanceCollaborative team player willing to assist othersDemonstrates exceptional organizational skills by efficiently managing multiple client requests and prioritizing time sensitive tasksExhibits meticulous attention to detail and a commitment to accuracyDemonstrates strong integrity and a commitment to ethical conduct, especially when handling confidential client information and financial mattersBonus Points: Interest in exploring marketing ideas, and a willingness to research Google platforms and AI trendsExperience with the electronic application processing tools (Docusign & FireLight)Experience with CRM systemsWhat You’ll Get: Pay & Perks: $50k/year + bonus potentialHealthcare and dental provided after 90 days, employer covers 50%PTOSchedule: In office: Monday – Friday, 8:30am-5:30pmSome evenings required for client eventsPresented by Advisor Talent SolutionsAdvisor Talent Solutions, part of the AE Management, LLC family of companies, supports independent advisor businesses with their hiring needs.
