This vital role serves as the first point of contact for visitors and callers, ensuring a welcoming environment while efficiently managing front desk operations. This position offers an opportunity to contribute to a well-organized, customer-focused workplace by providing exceptional administrative support and maintaining seamless office operations.DutiesGreet visitors and clients warmly, directing them appropriately and ensuring a positive first impressionManage multi-line phone systems with professionalism, answering inquiries and transferring calls efficientlyHandle incoming and outgoing correspondence, including emails, mail, and deliveriesMaintain accurate appointment scheduling and calendar management for staff membersPerform data entry, filing, and document proofreading to ensure accuracy and organizationUtilize Microsoft Office Suite and Google Workspace to prepare reports, memos, and other administrative documentsSupport office management tasks such as supply inventory, equipment maintenance, and basic bookkeeping using QuickBooks or similar softwareProvide customer support by addressing inquiries promptly and courteouslyAssist with clerical duties including typing, proofreading, and maintaining organized recordsCoordinate with team members to ensure smooth daily operations and effective time managementQualificationsProven experience in front desk or office administration roles; previous receptionist experience preferredStrong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace toolsMinimum typing speed of 40 WPMFamiliarity with multi-line phone systems, data entry, filing systems, and basic bookkeeping software such as QuickBooksExcellent organizational skills with keen attention to detail and accuracyOutstanding customer service skills combined with professional phone etiquetteBilingual abilities are highly desirable to serve diverse client needs effectivelyAbility to manage multiple tasks efficiently in a fast-paced environmentPrior experience in medical or dental receptionist roles is advantageous but not requiredStrong time management skills with the ability to prioritize tasks effectivelyAbout Capital Staffing Inc:Established in 2011, Capital Staffing, Inc is a full service SBE staffing firm, committed to providing a high level of support to all of our employees.
