Administrative Medical Office Lead | CMA or LPN This role involves organizing, coordinating, and supervising activities related to physician practice secretaries and Medical Assistants. Acting as a key resource in the absence of the Practice Coordinator, the position ensures smooth front and back-office operations while maintaining excellent patient service. Front Office Responsibilities: Manage typing, copying, and creation of forms and reports, ensuring timely communication with physicians and departments. Answer phones, retrieve voicemails, and coordinate communication between patients, physicians, and staff. Maintain filing systems for patient and non-patient documents. Provide feedback to improve front office efficiency and proficiency in EMR systems. Clinical Patient Care Duties: Deliver patient care directly or through delegation, recognizing risk factors and responding appropriately. Prepare patients for examination, obtain vital signs, and document medical records accurately. Assist physicians with procedures, testing, minor surgeries, and medication management. Educate patients on treatment plans and medication usage, ensuring understanding and compliance. Administrative Leadership: Oversee daily operations of secretaries, receptionists, and Medical Assistants across multiple locations. Represent the department in public relations, committees, and educational events. Manage staffing, scheduling, training, and equipment maintenance. Coordinate educational programs and maintain departmental records and reports. Assist with performance reviews and support disciplinary and salary decisions in collaboration with leadership. Education and Experience: Associate degree or equivalent required; candidates pursuing a bachelor's degree with at least two years completed coursework may be considered. Completion of an accredited Medical Assistant or Nursing (LPN) program required or must be completed within three years of hire. Minimum of five years' experience as a secretary, receptionist, or Medical Assistant. Full-time, 8:00 AM to 4:30 PM, 40 hours per week. This position is located in a regional healthcare setting within the Midwest United States.
