This individual will possess excellent organizational, communication and presentation skills with the ability to interact directly with Senior Executives and high-level clients.How You'll Succeed:Administrative support:Manage scheduling internal and external meetings, extensive travel, and monthly expenses for Managing DirectorsExperienced with managing quickly changing priorities with good judgment, discretion and diplomacy, and execute administrative and operational decisions with excellenceAbility to work independently and collaboratively with cross functional teamsGreet scheduled visitors, arrange client meetings at the client center, and organize catering orders for meetingsDirect any department inquires in a professional manner to appropriate teamsParticipate in department event planning including: catering for large department events, confirmation of attendee list, choosing a vendor, recommend food options, complete orders, arrange for delivery all within budget, organize monthly team lunchesPartners with IT Team to resolve technical issues with office equipment, and access to systems and applications, assists with onboarding and offboarding employees per respective teamsManages office supplies, pitch book materials, stationery orders, business cards, facilities issuesCollaborate with CIBC assistants from multiple teams across the firmAssists with projects, research, and improving business efficiencyTechnology/equipment support (set up, maintenance and repairs):Provide daily technology support and management of printers, mobile devices and computers in accordance with CIBC policiesInvestigate system/software problems. Prepare, submit, track and escalate Service Now requests to ensure all technology issues and requests are addressed in a timely manner.Liaise and trouble shoot with various technology support groups when escalating urgent matters. Use sound judgment to ensure the correct solution is identified and implementedDisseminate technology information, as required, to department personnelTrack and manage inventory of all department hardware and softwareWork with external vendors, suppliers and technical support to ensure efficient department operationsAct as a resource to department users and coordinate training on new equipmentMaintain current knowledge of hardware, software applications and corresponding policies at CIBCWho You Are:You can demonstrate experience with:A minimum of 5+ years of Executive Administrative experience working in a fast paced corporate environmentProficient in Microsoft Outlook, Word, Excel and PowerPointAbility to manage multiple priorities and exercise good judgment to resolve with a solutions driven mindset and professional rigorExcellent organizational and communicational skills, with both written and oral, requiring tact, diplomacy and discretion, as well as the ability to maintain confidentialityGood interpersonal and customer relationship management skills to deal effectively with a range of people at all levelsHighly motivated self-starter, able to work independently with minimum direction and identify solutions to problems that ariseStrong technical skills to support maintenance of office equipmentYou embrace and champion change. This role has an expected salary range of $95,000-$115,000 for the New York, NY market based on experience, qualifications, and location of the position. The successful candidate may be eligible to participate in the relevant business unit's incentive compensation plan, which also may include a discretionary bonus component.
