We believe teamwork is an essential component in providing high-quality legal services and we value the talents and skills of our entire business professional team.Position SummaryThe Workplace Experience Assistant monitors and maintains all aspects of the physical space within the Chicago office during first shift hours (7:00 a.m. – 3:00 p.m.). This role is responsible for ensuring all office areas are consistently maintained at the highest standards of cleanliness, organization, and functionality. Areas include, but are not limited to, conference rooms, offices, workstations, departments, coffee bars, elevator lobbies, inner stairwells, and corridors.The role requires proactively walking the space to identify and address issues impacting the appearance and function of finishes, fixtures, furniture, and appliances, as well as ensuring major touchpoints are clean and sanitized. The Workplace Experience Assistant reports to the Facilities & Operations Manager.Duties And Responsibilities Manage and utilize technology and facilities management tools to support daily operations, reporting, and workflow tracking. Compile, maintain, and inventory physical assets accurately. Pull daily visitor reports and distribute “hotel boxes” as needed. Maintain cleanliness, organization, and a polished appearance within the space. Prepare and execute conference room configurations and set‑ups for meetings and events, coordinating with the Multimedia team to ensure a professional, polished, and timely experience. Occasional overtime for special events setups, but not regular. Repair, assemble, inventory, clean, and move modular furniture as needed. Prepares offices and workstations for new hires, internal moves, and departures. Assist with periodic office relocations, including packing, moving, relocating artwork, and unpacking. Sanitize high‑touch surfaces, including elevator panels, coffee machines, stairwell handrails, door handles, and shared appliances. Perform other office duties as assigned. Basic Qualifications High School diploma or GED equivalent required. 2+ years of operations experience supporting a professional services environment preferred; law firm experience preferred. This is an in-office role and expected to be in 5 days a week. COMPETENCIES Proficient knowledge of basic hand tools. Strong ability to manage and use firm technology to support facilities, operations, and administrative processes, including basic proficiency with Microsoft Office tools (Excel, Word, Office). Ability to maintain a professional, helpful, and responsive approach when supporting clients, visitors, employees, vendors, and service providers. Ability to anticipate needs and provide solutions promptly. Consistently produces accurate work product with a focus on attention to detail. Effectively prioritize daily tasks, meet deadlines, and consistently complete assigned responsibilities. Identifies maintenance or setup issues and takes appropriate action to minimize disruption. Communicate clearly and respectfully. Work effectively as part of a team, supporting shared goals and assisting with special projects as needed. Flexible and able to adapt to changes. Ability to lift 50 lbs. and move modular furniture, tables, and chairs to support various configurations. The amount of compensation offered will be determined by several factors, including but not limited to experience, qualifications, market data and internal equity.
