This position will be responsible for our reception area, assisting with multiple office activities and providing critical support for team members and functional departments, with particular focus on Purchasing, HR, and Facilities. The ideal candidate will be energetic, organized, proactive, and adept at multitasking to promote an efficient, professional, and positive office environment.\r\nRESPONSIBILITIES: Oversee daily office administrative functions including receiving guests, mail and packages, facilitating staff lunches, receiving/routing phone calls, and assisting with the administration of the corporate phone system.\r\nEnsure that office supplies are appropriately stocked, including sourcing and procuring office and kitchen supplies.\r\nProvide administrative support to the HR department by scheduling interviews, booking travel for candidates, and helping with planning, purchasing, and execution of staff events.\r\nServe as lead Purchaser. Place orders upon request for general office and lab/technical supplies. Partner with Accounting to set up vendors and maintain audit-ready records.\r\nCoordinate with senior management to plan, coordinate, and administer quarterly Senior Leadership Team (SLT) meetings, including agenda development, catering, and travel logistics.\r\nAssist executive team and visitors by facilitating correspondence and booking of flight, lodging, and meals.\r\nPrimary responsibility for maintaining clean and orderly administrative and common spaces (kitchen/lunchroom, reception, and conference rooms).\r\nMaintain and administer the THX Account License Database, including regularly updating user records, tracking license availability and usage, and accurately assigning or reassigning software licenses to employees based on role and business needs.\r\nSupport Facilities Coordinator to track and address facilities-related requests and troubleshooting.\r\nPrimary point of contact on maintenance and repair of office equipment including audiovisual devices and printers.\r\nPerform additional administrative tasks and assist with special projects as needed.\r\nQUALIFICATIONS: Bachelor's degree preferred; candidates with significant relevant work experience in lieu of a degree will be considered.\r\n2-4 years of experience as an Office Administrator, Administrative Assistant, or similar role.\r\nDemonstrated commitment to promoting positive, healthy corporate culture and environment.\r\nExcellent communication and interpersonal skills required.\r\nProficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint).\r\nHighly organized with strong attention to detail, and multitasking and prioritization skills.\r\nAbility to handle sensitive information with confidentiality and professionalism.\r\nBasic IT troubleshooting abilities and familiarity with office equipment and printers preferred.\r\nExperience with desktop publishing and/or graphic designed preferred.\r\nExperience managing a corporate phone system preferred.\r\nCOMPENSATION RANGE: $50,000 - $66,000 annually, based on qualifications and level.\r\nPOSITION LOCATION: Full-time On-site at Theradaptive corporate headquarters and laboratory in Frederick, MD.\r\nhttps://www.theradaptive.com\r\nTheradaptive is an equal opportunity employer.
