This position assists with the development, administration, monitoring, and reporting of departmental and project budgets while coordinating purchasing, accounts payable, P-card reconciliation, financial reporting, and related fiscal processes. The Coordinator serves as a key resource to departmental leadership and staff by coordinating financial operations, supporting budget planning activities, producing financial reports, and ensuring compliance with applicable University policies and procedures.\n\nJob Functions\nBudget Administration\n\nAdministers departmental operating and capital budgets with general oversight form Assistant Director.\n\nAdvises leadership on budget strategy and internal controls.\n\nExercises authority to approve expenditures within established limits.\n\nDevelops financial procedures and internal controls.\n\nProduce and maintain financial reports utilizing Workday and other financial systems to support operational and budgetary decision-making.\n\nIndependently analyzes financial trends and recommends corrective action.\n\nCoordinate purchasing and accounts payable activities, including direct purchases, invoice processing, and vendor payments.\n\nServe as departmental delegate for P-card holders and coordinate the reconciliation, review, and documentation of transactions.\n\nProcess revenue reimbursements and other financial transactions.\n\nAssist with preparation of required Board of Governors, University, and departmental financial reports.\n\nMakes independent determinations regarding financial compliance and fiscal management.\n\nPerform budget-related duties as back-up to the Assistant Director of Budgets.\n\nExercise sound judgment in handling confidential financial and personnel information.\n\nOffice Operations\n\nMaintain position descriptions for new, vacant, and existing positions.\n\nCoordinate personnel-related documentation and administrative processes within the department.\n\nProvide administrative support for special projects, departmental initiatives, meetings, and other activities as assigned.\n\nServe as a resource to departmental staff, vendors, and University stakeholders regarding budget, purchasing, and financial processes.\n\nRespond to and resolve inquiries related to financial, purchasing, and operational matters.\n\nCoordinate communication and information flow among departmental personnel and campus partners.\n\nSupport departmental operations through effective coordination of fiscal and administrative activities.\n\nSupervisory Responsibilities\n\nSupervise assigned OPS employees and/or student assistants.\n\nTrain, assign, and review work performed by support personnel.\n\nMonitor completion of assigned work and provide ongoing guidance and support.\n\nRequired Qualifications\nMaster's or Bachelor's degree and 2+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219.\n\nStatement(s) of Understanding\nThis position requires a background check. In conjunction with the University's policy, this position may also require a credit check.\n\nThe holder of this position is designated as a “Responsible Employee” pursuant to their role under Title IX.
