This role is ideal for candidates with experience in Public Relations, Fashion, Retail Marketing, Merchandising, Product Coordination, or Sample Management.The PR Sample Coordinator will play a critical role in managing editorial sample requests, influencer seeding, inventory tracking, logistics coordination, and cross-functional communication to support product launches and brand visibility initiatives.Key ResponsibilitiesEditorial & Media Sample RequestsProcess incoming editorial and media sample requests through internal warehouse ordering systems.Coordinate sample fulfillment from request submission through delivery.Communicate sample availability, shipment status, and tracking details to requestors.Prioritize multiple requests in partnership with leadership.Coordinate store pulls and sample borrowing when required to meet urgent deadlines.Support cross-functional teams to ensure timely sample delivery.Product Seeding & Long-Lead Sample ManagementOrder and manage long-lead and seeding samples through internal product sample systems.Monitor sample calendars and ensure all deadlines are met.Provide regular updates on pending sample orders.Assist with product packaging and shipment preparation.Execute end-to-end seeding processes, including product selection, packaging, shipping, and recipient list management.Coordinate with vendors and resolve sample-related issues as needed.Inventory & Sample Closet ManagementMaintain accurate inventory records and sample tracking grids.Ensure all outgoing samples and incoming returns are properly documented.Organize and maintain sample closets and storage areas.Conduct regular inventory audits to ensure product accountability.Administrative & Operational SupportMaintain professional communication with internal teams, editors, media contacts, vendors, and partners.Assist in developing seeding lists for influencers, VIPs, media contacts, and other brand partners.Coordinate with mailroom and messenger services to resolve shipping issues.Support day-to-day PR operations and special projects.Photo Request ManagementFulfill photo and image requests using internal photo-sharing platforms.Ensure timely delivery of requested digital assets.Meetings & Team CollaborationAttend team meetings, seeding meetings, and seasonal product launch kickoffs.Collaborate with PR, Marketing, Merchandising, Product Development, and Operations teams.Required Qualifications1+ year of experience in Public Relations, Retail, Fashion, Marketing, Merchandising, Product Coordination, or related fields.Experience managing inventory, product samples, showroom operations, logistics, or fulfillment activities.Strong organizational and multitasking skills.Excellent written and verbal communication skills.Proficiency with Microsoft Excel and Microsoft Office Suite.Ability to work effectively in a fast-paced, deadline-driven environment.Strong attention to detail and problem-solving skills.Preferred QualificationsExperience supporting Fashion, Retail, Lifestyle, or Consumer Brands.Knowledge of influencer marketing, product seeding, or editorial relations.Experience coordinating shipments, vendor communications, and inventory management.Familiarity with sample management systems or product tracking tools.Why Apply?Opportunity to support a nationally recognized retail brand.Gain valuable experience in fashion PR, influencer marketing, and product launches.Collaborative and dynamic team environment.Exposure to cross-functional teams across marketing, merchandising, and public relations.Equal Employment Opportunity (EEO) StatementTrilyon, Inc. is an Equal Opportunity Employer committed to diversity, equity, and inclusion.
