Event Planner / Corporate Meeting Coordinator (ONSITE – Contract)Location: Tampa, FL 33610Schedule: Monday–Friday, standard business hours (may vary based on event needs)Work Environment: Professional, conference center / corporate settingOvertime: Available as neededRole OverviewThis position supports the planning, coordination, and execution of meetings and events ranging from small internal meetings to large corporate conferences (10–500 attendees). The role combines front‑of‑house conference center operations with hands‑on event planning support and is best suited for someone highly organized, client‑focused, and comfortable managing logistics in a fast‑paced onsite environment. Key ResponsibilitiesEvent Planning & CoordinationPlan and manage meetings and events of varying size and complexityCreate, manage, and reconcile event project plans and budgetsCoordinate logistics including site selection (RFP process), room setups, catering, AV, décor, registration, travel, and speaker coordinationProvide strategic input and recommendations on event format and executionSupport high‑level meetings as the right‑hand partner to the lead event plannerConference Center & Operations SupportConduct daily walk‑throughs and inspections of conference and event spacesManage space issues and escalate unresolved concerns to the Lead PlannerSubmit and track facilities, AV, catering, and service requestsMaintain partnerships with internal teams including Conference Services, Food Services, AV, Facilities, and SecurityFront Desk & Client SupportCover reception desk functions as needed, including answering phones and emails promptlyGreet, direct, and assist clients and attendees onsiteHandle room assignments, badge printing, small/pop‑up meetings, and last‑minute changesDeliver high‑touch, professional customer service throughout event lifecyclesSystems & AdministrationUtilize the Event Management System (EMS / AMS) to manage reservations, details, and reportsPrioritize and process incoming meeting room requests from online booking toolsParticipate in daily operations meetings and weekly planning reviewsExecute pre‑conference and post‑conference calls and documentationWhat the Team Is Looking ForClient‑focused professional with a high‑touch service mindsetStrong attention to detail and ability to multitask effectivelyCalm, solutions‑oriented approach under changing prioritiesClear communicator, both written and verbalTeam player who can also work independentlyAgile, organized, and confident handling front‑facing responsibilities Qualifications2+ years of experience in event planning, hospitality, conference services, or corporate meetingsBackground in hotel, conference center, or high‑end hospitality environments preferredFamiliarity with AV coordination, Zoom, PowerPoint, and event management systemsProficiency in Microsoft Word, Excel, and OutlookStrong organizational, customer service, and administrative skillsAbility to stand for extended periods and support onsite event execution Ramp‑Up ExpectationsInitial training and shadowing providedComfortable with day‑to‑day responsibilities within a few weeksFully independent within approximately 2–3 monthsTalentMatch®Robert Half is the world’s first and largest specialized talent solutions firm that connects highly qualified job seekers to opportunities at great companies.
