Requires experience with HR compliance and the ability to maintain confidentiality about sensitive human resources issues, along with personal tact, integrity, judgment, and initiative.\n\nEssential Functions and Responsibilities\nRecruiting, Hiring and Onboarding\nLeads the recruiting and hiring process with hiring managers; works with the Director of Administration and hiring managers in updating and finalizing job descriptions before posting.\nWith oversight and direction from the Director of Administration, boosts critical job postings on various paid sites such as Indeed, Idealist, Glassdoor, etc.\nEnsures that proper Candidate Sources links are used for posting across Ceres’ and external platforms so that candidate source reporting is accurate.\nIs proactive in searching for potential candidates on Indeed and other job boards; invites promising candidates to apply.\nCommunicates with candidates all through the recruitment process, informing them whether they will be continuing and what are the next steps.\nRepresents Ceres at local job fairs as appropriate.\nWorks with hiring manager to draft and finalize appropriate interview questions based on each role.\nConducts all initial phone screen interviews.\nSchedules and attends all interviews to take notes (dictation); ensures all interview notes are saved to each candidate’s BambooHR profile in order to maintain compliance with CA retention requirements.\nConducts all professional reference checks.\nWorks with Director of Administration to complete manager approvals on the terms of new hire offer letters.\nWorks with hiring manager to determine equipment, email and other access needs; submits new hire requests to IT.\nWelcomes and orients new staff on their first day: completes Form I-9, trains on BambooHR, assists in setting up equipment and access, as needed.\nCompletes HR pre- and post-hire onboarding tasks in BambooHR in a timely manner.\nAssigns all required staff trainings and monitors/supports compliance; adds completion certificates to BambooHR.\nUpdates new hires’ eligibility on health benefits platform, sends welcome message to eligible staff and monitors elections.\nTracks Ceres property on employees’ Assets tab in BambooHR.\nMonitors and tracks timely completion of 30/60/90-day performance reviews.\nRuns the quarterly new hire orientation meeting, communicates the agenda to all presenters and confirms attendance/coverage well in advance.\n\nPayroll\nReviews all timesheets prior to approval; addresses meal break violations with employee and manager; adds meal break penalties to payroll as required by CA labor laws.\nRuns biweekly payroll submissions with the bookkeeper as backup; prints payroll checks when bookkeeper is unavailable.\nProcesses grant-required timesheets for signatures.\nAssists in annual financial audit by pulling appropriate reports and other data.\n\nGeneral HR Support (other duties as assigned)\nNurtures a collaborative, unified, positive, equitable, and inclusive culture across Ceres.\nMaintains the organization’s BambooHR platform, ensuring accurate and up to date documentation for all employees.\nProcesses signature requests in BambooHR (timesheets, job descriptions, offer letters, policies, etc).\nTransfers all paper personnel files to electronic format and uploads to appropriate employee folders in BambooHR.\nAssists Director of Administration in drafting, finalizing and implementing employment-related SOPs.\nAttends HR Committee meetings to take notes and keep abreast of current and future HR projects at Ceres.\nActs as main HR point of contact when Director of Administration is unavailable.\n\nQualifications\nA commitment to Ceres Community Project’s Mission and Operating Principles.\nBackground in HR or HR certificate, preferred.\nExperience in recruiting, a plus.\nExcellent typing speed, essential.\nKnowledge of FLSA, EEOC, DOL and EDD regulations.\nAbility to juggle multiple priorities while managing incoming requests and responding in a timely manner.\nAbility to maintain confidentiality.\nExcellent organizational skills and attention to detail while holding the big picture.\nExcellent written and verbal communications skills and the ability to communicate warmly and clearly.\nProficient in MS Office Suite (Outlook, Word, Excel, PowerPoint, SharePoint).\nExperience with HRIS payroll systems, BambooHR preferred.\nAbility and desire to be in a work environment that values working as a team, relationships, and giving and receiving honest feedback.\nHas a good awareness of self.\nAbility to problem solve and ask for help when needed.\n\nPhysical Demands / Work Environment\nThe physical demands described here are representative of those that must be met by a staff member to successfully perform the essential functions of this job.
