Job Summary
We are seeking a dynamic, results-oriented Orthodontic Treatment Coordinator to join the team at Koga Orthodontics in Monroe, Louisiana. In this key role, you will be the trusted guide for new patients, expertly leading them from consultation to treatment acceptance and start. Your primary responsibility is delivering personalized education, building strong rapport, overcoming objections, and presenting compelling treatment and financial plans to drive high case acceptance for comprehensive orthodontic treatments.

Key Responsibilities
Partner with the Scheduling Coordinator and Front Desk to gather essential new-patient information (chief concerns, financial expectations, preferred times) prior to the exam
Collaborate with the Insurance Coordinator to verify accurate benefits and coverage before any treatment presentation
Schedule, confirm, and follow up on appointments; proactively minimize no-shows and reschedule as needed
Manage pending treatment and observation lists to maximize conversions and increase case starts
Track monthly new treatment starts and implement proactive strategies to improve acceptance rates
Deliver confident, empathetic, and tailored treatment & financial presentations, clearly outlining fees, in-house payment plans, third-party financing, and the long-term value and benefits
Educate patients and parents on treatment options, appliance care, oral hygiene, phases of care, and realistic expectations in a clear, approachable manner
Effectively address concerns, handle objections with empathy, and build trust to support informed decisions and encourage same-day commitments whenever possible
Capture high-quality clinical photos, digital X-rays, intraoral scans, and ensure accurate upload to patient charts
Qualifications & Requirements
High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred
Minimum 2+ years in a sales-driven role, preferably as a Treatment Coordinator, New Patient Coordinator, or similar front-office/sales position in orthodontics, dental specialty, or healthcare
Proven success presenting and closing high-value treatment plans with consistently strong case-acceptance rates
Demonstrated ability to quickly build trust, calm anxious patients/parents, and guide them toward positive treatment decisions
Required Skills & Attributes
Exceptional verbal and written communication — warm, persuasive, professional, and clear
Strong sales skills — comfortable discussing value, navigating objections, and closing commitments in a non-pressured, consultative way
Calm, comforting, empathetic personality — skilled at easing fears and creating a reassuring, supportive experience
Excellent phone, text, email, and follow-up communication (texting is a key patient channel)
Highly organized, detail-oriented, and adept at managing multiple patients/tasks
Collaborative team player — daily interaction with Scheduling, Insurance, and Clinical teams
Proficiency in orthodontic practice management software (e.g., Cloud9, Tops Ortho, Dolphin)
Experience with patient communication platforms (e.g., Weave, Solutionreach, OperaDDS)
Knowledge of financial tools and third-party financing (e.g., OrthoBanc, AcceptCare, CareCredit)
Skilled in digital imaging: clinical photography, panoramic/ceph X-rays, CBCT, intraoral scanners (iTero, Trios, Medit), and document handling
Comfortable with Microsoft Office/Google Workspace and basic tech support
