This role will provide project coordination support for new build projects, including renewable energy projects, wind farms, solar projects, repower initiatives, substations, transmission projects, and other large-scale capital programs.\n\nMost projects supported by this team are valued at $15M+ and require strong coordination, document management, and communication skills to ensure project deliverables are completed accurately and on schedule.\nResponsibilities\nThe Project Admin will be responsible for managing project documentation, coordinating engineering deliverables, and supporting project teams throughout the lifecycle of major construction and infrastructure projects.\n\nKey responsibilities include:\nProcess and coordinate engineering drawings, RFI submittals, and project documentation.\nManage document workflows, approvals, and project deadlines.\nMaintain tracking logs for document submissions, reviews, and required actions.\nMonitor shared project email inboxes and coordinate responses.\nRoute drawings and documentation to project stakeholders for review and approval.\nFollow up with team members to ensure approvals are completed by required deadlines.\nMaintain electronic and physical project document libraries.\nReview documents for accuracy, completeness, and quality.\nModify and manage PDF documents using tools such as Bluebeam, Adobe Acrobat Pro, and ProjectWise.\nPrepare large-format drawing packages and project documentation for construction teams.\nPrint, organize, bind, and package drawings and project documents for shipment to field locations.\nSupport project managers, engineers, construction teams, and suppliers with documentation needs.\nAssist with multiple projects while maintaining strong attention to detail and organization.\n\nA typical day will include a combination of administrative coordination, document management, and hands-on project support.\nDaily activities may include:\nReviewing and responding to project-related emails.\nTracking document submissions and outstanding approvals.\nCoordinating drawing reviews with engineers and project stakeholders.\nUpdating project tracking tools and documentation logs.\nPreparing large drawing sets and project packages.\nWorking with project teams to ensure deadlines are met.\nSupporting construction and engineering teams with required documentation.\nThis position provides a balance between desk-based coordination and hands-on tasks such as preparing printed drawing packages and project materials.\nRequired Qualifications\n2–4 years of experience in a professional administrative, project coordination, or document control environment.\nExperience managing technical documentation, drawings, or project files.\nStrong attention to detail and ability to perform quality checks on documents.\nExcellent organizational and time management skills.\nStrong written and verbal communication skills.\nAbility to manage multiple priorities and meet deadlines.\nProficiency with Microsoft Office Suite, including:\nOutlook\nTeams\nSharePoint\nOneNote\nPreferred Qualifications\nExperience supporting engineering, construction, utility, renewable energy, or infrastructure projects.\nExperience with:\nProjectWise\nBluebeam\nAdobe Acrobat Pro\nPDF editing and document management systems\nPrevious experience working with large construction or engineering organizations.\nBackground supporting document control or project administration functions.\n\nSystem One, and its subsidiaries including Joulé and Mountain Ltd., are leaders in delivering outsourced services and workforce solutions across North America.
