As an independent fiduciary, the firm provides financial advisory and owner representation services.Position OverviewThe Tenant Coordinator will be based in Dallas, TX. The role supports retail and office tenants from lease execution through store opening by coordinating stakeholders, tracking critical dates, and maintaining accurate documentation. This role also maintains tenant contacts and supports marketing for the center by coordinating efforts with tenants and may plan small events. The role works cross-functionally with leasing, property management, construction/project management, marketing, tenants, and vendors to align deliverables with lease requirements, center standards (design/signage), permitting/inspection needs, and targeted opening and rent-commencement timelines.Key ResponsibilitiesPre‑Lease & Lease Execution (Onboarding)Partner with Leasing and Asset Management to understand tenant requirements, landlord deliverables, and key lease items (demised plans, landlord scope, design criteria).Review lease abstracts/work letters to identify critical obligations, contingencies, key dates, and rent-commencement drivers; maintain a master critical-date tracker.Deliver a tenant onboarding package (e.g., welcome letter, as-built plans, site/center design criteria, signage guidelines, rules/operating contacts) and confirm next steps.Tenant Build‑Out, Permitting & OpeningsCoordinate tenant improvement activities from lease execution through opening; track milestones.Facilitate plan review workflows (high-level completeness/criteria checks, routing to internal reviewers, coordinating revisions) to keep schedules on track.Coordinate move-in logistics as needed (access, utility coordination, scheduling) and maintain an opening checklist to confirm readiness prior to opening.Signage, Brand Standards & Tenant CommunicationsReview/coordinate tenant signage approvals in alignment with property visual standards and signage guidelines.Collect and maintain tenant-provided marketing/operational information (logos, store descriptions, hours, opening details) and share updates with internal stakeholders.Support grand opening communications and tenant marketing requests (as applicable), coordinating with Marketing to meet center standards. Ongoing Communication & SupportTrack the landlord’s scope of work and readiness for tenant occupancy; coordinate schedulesOversee/support punch list and closeout activities to drive completion prior to move-in/opening.Collect/manage closeout documentation (e.g., lien waivers, warranties, certificates of insurance) and maintain organized tenant files in internal systems.Coordinate ongoing tenant requests (e.g., signage changes, storefront/exterior modifications) and support vacant-space readiness with Property, Leasing, and Construction.Marketing CoordinatorCoordinate property marketing initiatives with third-party marketing groups.Work with tenants and marketing groups to advertise events, specials, and property updates.Support occasional property event planning and coordination.Property Management Support Assist the Property Manager with all other assigned duties as needed. Coordinate between tenants and Property Management on routine requests, operational questions, move-ins, access, utilities, and related logistics. Support Property Management with tracking, documentation, and tenant communications to help ensure smooth, efficient operations.QualificationsExperience: 2+ years in commercial real estate, retail property management, tenant coordination, administration, or marketing.Education: Bachelor’s degree preferred (Business, Real Estate, Marketing, Communications, or related field).Lease fundamentals and Project Coordination: Working understanding of retail lease obligations and landlord-tenant requirements. Strong organization, prioritization and follow-through.
