HVAC Office Representative
Job Description
We are a growing HVAC company seeking a reliable and organized Office Representative to serve as the central point of communication between our customers, technicians, and management. This role is critical to daily operations and requires strong customer service skills, attention to detail, and the ability to multitask in a fast-paced environment.
The ideal candidate will handle inbound customer calls, schedule and dispatch technicians, manage office tasks, and ensure a positive experience for every customer.
Key Responsibilities
Answer incoming phone calls and emails in a professional and friendly manner
Schedule service calls and dispatch HVAC technicians efficiently
Communicate clearly with technicians regarding job details, locations, and updates
Handle customer inquiries, concerns, and follow-ups with professionalism
Enter and maintain accurate customer, job, and service records
Process invoices, payments, and basic billing tasks as needed
Coordinate emergency and after-hours service calls when required
Support day-to-day office operations and administrative tasks
Maintain a high level of customer satisfaction
Qualifications
Previous experience in an office, dispatch, or customer service role preferred
HVAC, construction, or service-industry experience is a plus
Strong communication and interpersonal skills
Excellent organizational and multitasking abilities
Comfortable using computers, phones, and scheduling software
Ability to stay calm and professional in high-volume or urgent situations
Reliable, punctual, and detail-oriented
