Operating in close partnership with the Lead Contracts Administrator and the Proposal Team, this critical, office-based role will be responsible for daily contract administration, compliance monitoring, and commercial insurance tracking. The successful candidate will serve as a vital operational bridge between project managers, finance personnel, business development, and executive leadership to protect corporate assets and ensure seamless project execution.\n\nCore Responsibilities\n\nContractual Oversight: Support the review, routing, and execution of contracts, task orders, subcontracts, amendments, non-disclosure agreements (NDAs), and equipment rentals.\nRisk & Compliance Management: Facilitate the issuance and receipt of Certificates of Insurance (COIs), maintain geographic tax requirement databases, and support of anti-bribery/anti-corruption policies.\nProject Lifecycle Coordination: Coordinate project startup activities, track client contract modifications, manage funding adjustments, and assist with subcontractor onboarding.\nData & Template Control: Maintain digital document repositories, track option periods/expiration dates, and update standard commercial templates.\n\nRequired Qualifications & Experience\n\nEducation: Associate or bachelor’s degree in business administration, Finance, Legal Studies, Project Management, or a related discipline.\nExperience: Minimum of two (2) years of professional experience supporting contract administration, procurement, legal administration, or project coordination.\nTechnical Mastery: Advanced proficiency in Microsoft Office Suite, specifically Word, Excel, Outlook, Teams, and SharePoint.\nCore Competencies: Exceptional attention to detail, strict adherence to business confidentiality, and a proven ability to manage multiple high-priority deadlines independently.\nCredentials: Possession of a valid U.S. Driver's License.\n\nPreferred Background\n\nExposure to government contracts, IDIQ mechanisms, task orders, or commercial agreements.\nKnowledge of commercial insurance, with an emphasis on the maritime industry\nIndustry experience within marine science, offshore energy, environmental consulting, or engineering firms.\nFamiliarity with enterprise software platforms such as Deltek, Acumatica, Salesforce, or Microsoft Dynamics.\n\nCSA Ocean Sciences Inc. is an Equal Employment Opportunity/Affirmative Action employer.
