Our organization is a busy, fast paced and team-oriented orthopedic office. The ideal candidate must be a dependable team leader, motivated, collaborative, and a positive professional.\n\nDuties include:\nProviding leadership and supervision to the scheduling department.\nCovering and filling in any scheduling position when needed - Working supervisor\nProduces and provides reports on departments’ performance. Analyzes data for process improvement.\nMonitors performance and provides feedback. Works with Leadership team regarding employee issues including performance write-ups, terminations, and other interpersonal issues.\nCoordination of daily activities within the Scheduling department.\nWorks with Director to implement new projects and processes.\nEvaluates current work flow and makes improvements.\nConducts yearly performance evaluations of assigned staff with Associate Director as well as engaging in ongoing coaching, including corrective action as needed.\nCollaborate with HR on the hiring process responsible for screening applicants, interviewing and selection of staff, arranging their daily training/mentoring/support.\nArrange and participates in the ongoing development of employees.\nProvides assistance in managing escalated issues as needed within the Clinic, maintaining a positive customer service approach at all times.\nDevelops weekly schedule for assigned staff and develops plan for low staffing issues as needed.\nResolves patient complaints, and refers unresolved complaints to appropriate Director and refers complaints requiring investigation to the Director of Patient Access.\nWorks with Director regarding any changes or decisions involving staffing issues and responsibilities as needed, within assigned staffing levels.\nEnsures compliance with current Slocum policies and procedures.\nEnsures that all training manuals and department protocols are kept current.\nLead departmental meetings, developing agendas and recording minutes.\nParticipates in other meetings as requested by administration.\nReports regularly to Director regarding operational issues.\nCommunicates daily and as needed with staff and administration.\nAssists with budget preparations and staff planning\nActs as a positive role model in demonstrating excellent patient care and service standards.\nCoordinates across departments for implementation of new projects/processes.\nOther duties as assigned.\nThis position reports directly to the Director of Patient Access. We’re seeking an individual that has the ability to manage the team from a high level, but is also able to step in and provide coverage when needed.\nAll candidates must have:\nA minimum of 2 years’ experience as a Supervisor or Department Lead in a medical office, or other healthcare setting required.\nMust possess positive, enthusiastic attitude, and excellent customer services skills.\nAbility to work independently without constant supervision.\nTyping and basic computer skills, including proficiency in Word and Excel, essential to completing job responsibilities.\nExcellent communication and interpersonal skills\nProvide ongoing leadership, innovation, and guidance on efficient and effective processes for the scheduling department in partnership with Administration.\nKnowledge of medical terminology\nExperience using medical records\nNextGen experience a plus\nSlocum Orthopedics is seeking a Scheduling Supervisor to oversee all day to day operations and Scheduling Department functions. This role provides leadership to the scheduling department and works collaboratively with other members of management on a great range of clinical operations and customer service related objectives. This position is responsible for the monitoring and supervision of the Scheduling Department’s functions including staffing, training, and efficiency.
