Real Estate Operations Manager (Systems & Process Focus)

OverviewWest & Company is a fast-growing real estate company serving Montana and North Dakota, and we are looking for a highly organized, systems-minded Operations Manager to take ownership of how our business runs behind the scenes.This role is for someone who naturally sees inefficiencies, improves processes, and ensures things are done right the first time.This is not a basic administrative position.This is a hands-on operations role with real responsibility and a clear path for growth into a larger leadership position as the company scales.What You’ll OwnTransaction Systems & Listing Execution (40%)Own the contract-to-close process, ensuring consistency, accuracy, and on-time execution across all transactionsCreate visibility around timelines, deadlines, and deliverables so nothing falls through the cracksCoordinate with title companies, lenders, agents, clients, and vendors to keep deals moving forwardEnsure listings are prepared, launched, and executed with accuracy and consistencyMaintain clean, organized systems within CRM (Follow Up Boss) and Google WorkspaceOperations & Process Improvement (30%)Identify inefficiencies and improve workflows across transactions, onboarding, and internal operationsDocument and refine SOPs to create consistency and clarityBring structure, organization, and follow-through to daily operationsImprove how systems (CRM, communication, task management) are used across the teamAccountability & Execution (20%)Help maintain standards across the team by ensuring timelines and processes are followedCreate clarity around expectations and follow-throughEnsure details are not missed and issues are addressed proactivelyCreate structure that allows leadership to stay focused on growth, not day-to-day operationsLight Property Management Support (10%)Coordinate maintenance requests, vendors, and tenant communicationTrack renewals, walk-throughs, and documentationEnsure timely and professional communication with owners and vendorsWhat Success Looks LikeTransactions run smoothly without constant oversightFewer last-minute issues, delays, or fire drillsProcesses are documented and consistently followedCommunication across the team is clear and organizedLeadership is no longer managing every operational detailWho This Role Is ForYou naturally think in systems and processesYou take ownership instead of waiting for directionYou notice when things aren’t working and take initiative to fix themYou are highly detail-oriented but able to prioritize effectivelyYou are comfortable holding standards and following throughYou prefer structure, clarity, and doing things the right wayYou are interested in growing into a larger operations leadership role over timeWho This Role Is NOT ForSomeone looking for a task-only administrative positionSomeone who prefers to wait for direction rather than take initiativeSomeone uncomfortable addressing issues or maintaining standardsPreferred ExperienceOperations, project management, transaction coordination, or executive supportReal estate, title, lending, or property management experience is a plusExperience working with CRM platforms (Follow Up Boss/Sierra), Google Workspace, Canva, and task management systemsStrong communication, organization, and problem-solving skillsQualificationsHigh school diploma required; higher education or certifications a plusAbility to work on-site Monday–Friday, with occasional flexibility for eventsCompensation & GrowthBase salary: $45,000 – $50,000 (DOE)Quarterly performance bonus tied to operational resultsOpportunity to grow into a larger operations leadership role with increased responsibility and compensation over timeWhat We Value MostWe are not looking for someone with the longest resume.We are looking for someone who:Thinks in systemsTakes ownershipImproves what they touchWants to grow into more responsibility over timeRequired Application QuestionDescribe a process you improved.
