This role manages event registration, attendee communications, volunteer coordination, onsite event registration, and assists in post-event reporting. Additionally, the position supports membership administration, and engagement initiatives.The right candidate will have a passion for customer service and excellence, as we endeavor to provide the most relevant events, initiatives, and programs which provide the most value to our members. Attention to detail combined with a proactive mindset and sense of diplomacy will be the best skills combination for this role.Responsibilities include:Registration and Financial ReconciliationOversee the full event registration lifecycle, from opening registration through post-event reconciliation, including ticket sales and adjustments.Manage billing, refunds, and platform issues related to events.Perform comprehensive financial reconciliation for each event.Communications and Pre-Event PreparationPrepare name tags via mail merge, and manage event confirmation list uploads in Campaign MonitorCreate and send pre- and post-event emails and surveys; upload attendee lists for post-event outreachAssist with seating arrangements, including coordinating table assignments, maintaining the table tracker, and supporting the event lead with the seating layoutSet up and manage name tags, table tents, and drink tickets using Canva and provided templatesAssist with event signage as neededMonitor the Events email account and field general event inquiriesProvide customer service to attendees regarding registration, ticket transfers, refunds, and event informationOnsite Operations and Volunteer CoordinationRecruit, confirm, and manage day-of-event volunteers, including developing volunteer instruction sheets and training volunteers on-siteLead event registration operations, including setup, volunteer coordination at check-in, and troubleshooting.Prepare and transport the event pack box and registration supplies; maintain and replenish event inventoryPost-Event Provide registration report for sponsorsSupport asset management and organization of event collateral; clean up event files to eliminate unneeded documents.Skills/QualificationsBachelor’s degree preferred Exceptional computer skills: Microsoft Office (Word, Excel, PowerPoint) and Google Workspace Suite (Google Doc, Sheets, Forms). Proficiency is required without exception.Experience in Canva and similar design tools 2+ years of administrative and/customer service experience1+ years of event planning experience (nonprofit experience a plus)Superior verbal and written communication skillsStrong interpersonal skillsExhibits a genuine desire to provide excellent customer service to members, guests, and staffAbility to recognize problems and to take appropriate actions toward solutionsExcellent logistics and organizational skillsExceptional and effective time management and prioritizing skillsHigh level of attention to detail and accuracyTeamwork and collaborationSalary Range and Time RequirementsThis is a full-time role which is classified as non-exempt (eligible for approved overtime).
