Our finance team doesn’t just process paperwork — we’re the backbone of how the firm operates, from getting checks out the door to keeping trust accounts audit-ready. We’re hiring an Accounting Specialist to work alongside our CFO and handle the daily financial operations that keep the firm running: check processing, trust account management, bank reconciliations, fraud prevention, payroll support, and financial reporting. This is a hands-on, high-accountability role with real daily deadlines — not a back-office job where things can wait until next week. If you’re a sharp, reliable accounting professional with law firm experience and you want your work to actually matter, keep reading.The RoleYou will be a key member of our finance team, responsible for:Processing check requests in QuickBooks Desktop for various case-related and operational disbursements — checks are top priority and must be issued accurately and immediately upon requestPerforming daily fraud prevention duties through the firm’s banking platform, including reviewing checks presented for payment against QuickBooks records and blocking unauthorized transactionsVerifying check information for financial institutions, providers, and clients, and flagging potential fraud to managementRecording bank adjustments, reversals, and returned deposit items in QuickBooks, including reissuing checks and notifying the appropriate team membersPerforming monthly reconciliations across multiple account types, including operating accounts, trust (IOLTA) accounts, credit cards, and internal financial reportsMonitoring IOLTA trust balances, identifying discrepancies, correcting errors, and escalating unresolved issues to the handling attorneyReviewing aged outstanding checks, following up with payees, and processing stop payments and reissues as neededManaging employee timekeeping in QuickBooks Time, including reviewing timesheets for accuracy, recording approved absences, and exporting reports for payrollSupporting payroll processing and 401(k) administration in coordination with HR and office operationsRunning financial reports from QuickBooks for the CFO and firm leadership as neededAssisting with other accounting projects, ad hoc requests, and tasks as assigned by the CFORequired QualificationsHands-on experience with trust/IOLTA accounting, including reconciliation of operating and trust accountsDemonstrated integrity and discretion when handling confidential financial information2+ years of hands-on QuickBooks Desktop experience — this is non-negotiable (QuickBooks Online experience is a plus but Desktop is our primary system)2+ years of professional accounting experience including AP, AR, and bank reconciliationsPrior experience working in a law firm or legal services environment — this is required, not preferredAssociate’s degree or higher in Accounting, Finance, or a related field — OR equivalent hands-on law firm accounting experience in lieu of a degreeStrong working knowledge of Microsoft Excel (VLOOKUP, PivotTables, SUMIFS)Proficiency in Microsoft Office Suite (Word, Outlook)Excellent organizational and time management skills with the ability to handle multiple prioritiesAbility to work in a deadline-driven environment with daily time-sensitive tasks that cannot be deferredPreferred QualificationsExperience with settlement disbursementsPrior experience as the primary or sole accounting person or supporting accounting team member in a small-to-midsize firmBachelor’s degree in Accounting or FinanceExperience assisting with month-end and year-end close processesWhat Sets You ApartWe’re looking for someone who can walk in and handle business from day one, no hand-holding on QuickBooks, no learning curve on trust accounting.
