Mercer provides a turn-key approach that includes planning, design, construction, and installation as well as service, monitoring, and maintenance.\nThe Billing Coordinator is responsible for providing clerical support to our Petroleum, General Contracting, and Electrical Teams.\nESSENTIAL FUNCTIONS\nOpening and closing jobs using internal software and systems.\nProcessing Purchase Orders, Work Orders and Change Orders.\nCreating and sending accurate and timely invoices.\nCoordinating Certificates of Insurance as needed.\nManaging Certified Payroll Reports as needed.\nPreparing and recording Notice of Commencement as needed.\nResolve billing errors and discrepancies.\nAssisting vendors and sub-contractors with all inquiries and questions.\nAssist Accounts Payable with coding and processing of payables.\nPerform any necessary administrative duties such as month-end reporting and filing.\nWork with other members of the billing and accounting staff, such as Accounts Payables and Accounts Receivables.\nADDITIONAL RESPONSIBILITIES\nPrepares professional correspondence and documents as required.\nTyping emails, letters, reports, and general correspondence.\nCreate and maintain a filing system that facilitates efficient and timely retrieval of documents.\nMaintain reports and tracking, as necessary.\nMaintain strict confidentiality as required.\nOther duties as assigned.\nKNOWLEDGE / SKILLS / ABILITIES\nExcellent customer service.\nExcellent verbal and written communication skills.\nStrong organizational skills and attention to detail.\nAbility to multi-task and work well under pressure, meeting monthly deadlines.\nProficient in Microsoft Word, Excel, Outlook, and DocuSign.\nMust have basic math and calculation skills.\nMust have an understanding of taxes – sales and use tax.\nJOB QUALIFICATIONS\nMinimum 2-5 years’ billing experience.\nAn associate degree is preferred.\nAIA Billing experience is preferred.\nPHYSICAL DEMANDS\nThe conditions herein are representative of those that must be met by an employee to successfully perform the essential functions of this job.\nPhysical: Primary functions require maintaining a professional appearance and providing a positive company image to the public.
