Administrative Assistant
Reports to: Director of Ops, General Manager and Assistant Managers
The Administrative Assistant (ADM) has a primary focus on providing office support for the operational area of the TGI location. The ADM support will allow the Management staff to focus on running and driving sales at the location. The ADM will work closely with the location Management team and all store associates.
The ADM is responsible for a variety of office duties which includes new hire paperwork, inventory ordering and receiving, cash counting and draw drops, and maintaining paperwork related to employees.
Essential Job functions of the ADM include:
Assist with onboarding paperwork for new employees.
Assist with training new employees and setting them up for success.
Assist with airport badge audits and unreturned badge issues airport locations only.
Count daily cash deposits and secure cash funds in safe. ADM must follow TGIs cash handling policy and procedure and always maintain proper security of cash.
Prepare cash drawer deposits for the daily shifts.
Order and track product and beverage orders. Update order guides as needed.
Order supplies or equipment for the office.
Enter purchase orders in POS system.
Enter receiving logs in POS system for purchases of products and beverages.
Work with vendors for missing order items, returns and credits.
Assist location manager with preparing bi-weekly folder for Corporate that includes new hire paperwork, termination paperwork, counseling reports, cash deposit logs, AP invoices, etc.
Assist with monthly inventory, maintain monthly inventory count sheets, and enter inventory counts in the POS system.
Assist manager with time edits for employees to correct missed punches or duplicate punches.
Track FMLA absences and report to HR.
Track absences and record points if location is using a point system policy.
Assist manager with paperwork related to work injuries.
Maintain store logs and notify Management of any important information logged from shifts.
Track petty cash expenses and maintain proper expense documentation.
Ensure compliance with all Company policies and procedures.
Ensure compliance with all health and safety standards.
Other duties as required by the position or by management.

Product Handling/Stocking: Handles all products and supplies in a safe and sanitary manner. Distributes the products and supplies efficiently according to stores requisition/stock list.
Company Policies and Procedures: Regularly adheres to policies and standard operating procedures and ensures that employees do the same.
Must be able to bend, twist and stand for extended periods to perform job functions.
Must have the ability to lift and push objects weighing over 40 lbs.
Follows safety rules provided in the TGI Safety Manual along with other TGI policies and procedures.
Reports any safety hazards to management immediately.
