Job Summary
Position Purpose: The role of the Purchasing Coordinator & Accounts Receivable Specialist at Pathways Health Partners encompasses the efficient management of procurement processes and the meticulous handling of accounts receivable functions within our Accountable Care Organization (ACO). This dual-role position is critical for ensuring operational effectiveness and financial accuracy, aligning with our commitment to improving patient care and reducing healthcare costs. The Purchasing Coordinator & Accounts Receivable Specialist plays a pivotal role in supporting Pathways Health Partners' mission to deliver superior patient care and operational excellence; by managing procurement and accounts receivable functions with diligence and professionalism.
Role and Responsibilities
Position Competencies:
Oversee the entire purchasing cycle, including requisition, vendor selection, order placement, and payment processing.
Monitor inventory levels, anticipate procurement needs, and place orders to maintain optimal stock levels, preventing shortages and disruptions.
Handle all accounts receivable transactions, including the generation of invoices, payment processing, and collections.
Know and maintain professional communication skills: verbal, written, and non-verbal communication
Understand and maintains the highest level of HIPAA (Health Insurance Portability and Accountability) standards
Position Responsibilities:
Specific:
Ensure procurement activities comply with organizational policies and regulatory standards
Establish and maintain productive relationships with suppliers, negotiate favorable terms, and ensure the delivery of high-quality goods and services
Collaborate with various departments to ascertain their purchasing requirements and ensure timely fulfillment of their needs
Address and resolve issues related to order discrepancies, delivery delays, and returns promptly and effectively
Regularly reconcile the accounts receivable ledger to ensure the accuracy of financial records and reports
Monitor outstanding accounts, communicate with clients to expedite payments, and implement strategies to reduce aged receivables
Prepare comprehensive accounts receivable reports for management review, providing insights into financial status and performance
Support the month-end closing process by supplying relevant financial data and ensuring the completeness and accuracy of accounts receivable records
Investigate and resolve any discrepancies or issues related to accounts receivable transactions
Proactive problem-solving skills and the capacity to address issues promptly
Prepares purchase orders, solicits bid proposals, and reviews requisitions for goods and services
Researches and evaluates suppliers based on price, quality, selection, service, support, availability, reliability, production and distribution capabilities, and the supplier's reputation and history
Formulates policies and procedures for bid proposals and procurement of goods and services
Evaluates and monitors contract performance to ensure compliance with contractual obligations and to determine need for changes
Manage facility-related contracts such as janitorial services and act as the primary point of contact for vendor and company interactions
Handle reports of facility maintenance issues, such as painting and upkeep, by sourcing appropriate labor and ensuring timely resolution
Track company-provided assets to employees, ensuring accurate records of item distribution, accountability, and inventory management

Qualifications and Education Requirements
Qualifications/Position Requirements:
Education: High school diploma/GED Required. Bachelor's degree in Accounting, Finance, Business Administration, or a related field preferred; or a combination of education and relevant experience.
Experience: minimum of 2 years of experience in purchasing and/or accounts receivable, preferably within the healthcare sector.
Certification/Licensure: N/A
Training and Knowledge Required at Time of Hire: Advanced knowledge of accounting software and Microsoft Office Suite, with a strong emphasis on Excel. Exceptional organizational and time management abilities, coupled with strong communication and negotiation skills. Demonstrated ability to manage multiple tasks and priorities with precision.
