Coordinator, Scheduling & Events
The Position: The Coordinator, Events and Scheduling reports to the Assistant Director, Scheduling and Events.Responsibilities: Characteristic duties and responsibilities of the Coordinator, Scheduling and Events include:Reservations: Schedule Student Union space utilizing the current scheduling program. Assist the Assistant Director to oversee the reservation process through the reservation email. Act as a liaison when scheduling space in other buildings on campusEvent Planning: Advise clients and facilitate event planning meetings as needed; prepare set-up diagrams, coordinate reservations and utilize the current diagramming softwareFacilitate: Assist with the enforcement of facility policies and procedures along with customer service initiativesCollaborate: Collaborate with Student Union Operations, Student Life Programming and other campus partners to ensure quality service for clientsAssessment: Assist with information and space-use reports as requiredBilling: Coordinate the billing and reconciliation process of billing as neededStudent Development: Participate in the department student employment program to help develop, mentor and retain student employeesAssist: Assist the Assistant Director with special projects and other duties as assignedAdditional Position InformationQualifications: The Coordinator, Scheduling & Events must be well-organized, high-energy person with:A relevant bachelor’s degree requiredOne year of experience in communications, event planning, or management requiredMust be available to work a flexible schedule with evening and weekend hours as necessaryAbility to work and communicate with a diverse university and non-university community requiredExperience working with students from a broad variety of backgrounds.Ability to apply policies and procedures requiredExcellent written and oral communications skills requiredDetail oriented, time management, organizational, problem-solving and customer service skills requiredExperience in a student union or educational setting preferredAn articulate understanding of the mission, culture, climate and environment of a metropolitan university preferredPhysical DemandsLight physical effort required involving stooping and bending; or individual has limited discretion about walking, standing, etc.Occasional lifting of lightweight objects (up to 25 pounds).Working ConditionsStandard working environment with possible minor inconveniences due to occasional noise, crowded working conditions and/or minor heating/cooling or ventilation problemsNear continuous use of Video display terminal (greater than 70% of work day).
