Our EA will have an unrivaled attention to detail, have a perfect say:do ratio, and proactively solve problems before they come up.ResponsibilitiesOwn the CEO and COO calendars end-to-end: scheduling, prioritizing, resolving conflicts, protecting focus timeTriage inboxes daily, flag what needs attention, draft responses, handle routine correspondenceCoordinate all travel: flights, hotels, ground, detailed itineraries, real-time replanning when things changeRun meeting logistics: rooms, dial-ins, pre-reads distributed on time, follow-ups trackedManage expenses, reimbursements, invoices, subscriptionsPlan and coordinate (as needed), 1:1s, team dinners, board meetings, exec eventsAct as the point of contact for internal and external stakeholders trying to reach the execsPartner closely with the Chief of Staff on exec priorities and operating cadenceBuild and maintain the systems that keep the exec team running: trackers, templates, contact lists, vendor relationshipsAnticipate needs before they're asked: pre-stage materials, pre-book the car, pre-flag the conflictTravel, as needed, with the CEO and COO and support all accompanying logistics, communication, and preparationQualificationsObsessive attention to detail, nothing slipsCalm under pressure, comfortable with last-minute changesTrustworthy with sensitive informationBias to action, owns outcomes not tasksPreferred: 3+ years supporting C-level execs, ideally in a fast-moving startupThis position requires use of information which is subject to the International Traffic in Arms Regulations (ITAR).
