This position is also responsible for overall customer satisfaction of the individual attendees of the travel program during the registration process.\n\nJob Responsibilities:\nSupport of Account Manager in the operation of travel programs including client and vendor correspondence.\nOrganization of physical program files within company standards.\nCreation of program database for all participant information.\nCreation of registration materials including web registration site utilizing Cvent Registration system.\nCoordination of all program mailings including promotional mailings, registration mailings and final documentation mailings.\nCoordination of participant registration process including answering participant phone calls regarding program and registration questions.\nQuality Control of registrations and participant changes.\nMaintains contact with air vendor on day-to-day participant issues.\nCreation of program documentation to include copy and production of Program of Events, name badges, luggage tags, signage, etc. as well as coordination of artwork with in-house graphic artist.\nUpdates Account Manager on all participant issues including changes or any special requests made by participants.\nRuns reports as required including rooming lists, participant lists, activity lists, arrival & departure lists, etc.\nCreation of travel staff notebooks including copies of all appropriate reports.\nLive up to our Extu Core Values.\nPerforms other duties and responsibilities as required by supervisor or business\nThis job description is subject to change at any time\n\nJob specifications (Required skills):\n1-2 years of related work experience\nExperience with customer service\nStrong interpersonal skills to effectively collaborate across departments\nAbility to work in a small team environment or independently\nSelf-starter with excellent problem-solving capabilities.\nExcellent verbal and written communication skills\nExcellent organization and planning skills\nMulti-tasking capabilities (individual will be assigned multiple registration projects simultaneously)\nHigh degree of flexibility\nIntermediate level Microsoft Office Skills -Word, Excel, PowerPoint, Outlook\n\nPreferred Skills (non-essential):\nA bachelor’s degree in business administration, marketing, communications or related experience.\nExperience with customer service in the travel industry\nSome knowledge with Cvent Registration platform\n\nPhysical Requirements\nTravel – very minimal travel required\nAbility to lift 10 pounds (laptop for remote work)\nMust be able to remain in a stationary position 90% of the time.\nMove about inside the office for meetings and to access office equipment\nAbility to sit for long periods of time at a computer utilizing a phone with headset\nOperate a keyboard for system access and email communication\nPosition primarily communicates verbally with clients through phone and email.\n\nWorking conditions\nIndoors, climate-controlled office\nHybrid work schedule with 3 days (Tue/Wed/Thurs) in office required.\n\nWhat we bring to the table:\nWe believe work should work for you.
