This role is responsible for maintaining an organized, efficient, and compliant office environment, managing staff, and ensuring seamless coordination across departments.This position is ideal for someone who thrives in a fast-paced environment, takes ownership, and can juggle multiple priorities without letting things slip through the cracks.Key ResponsibilitiesOffice Operations & AdministrationOversee day-to-day office operations to ensure efficiency and organizationManage office supplies, equipment, and vendor relationshipsMaintain filing systems and ensure accessibility of documents and recordsCoordinate office layout, workspace planning, and equipment setupTrack and manage company assets, including technology and equipmentStaff Leadership & SupportLead and support administrative staff, promoting a productive and positive work environmentProvide administrative support to leadership and internal teamsFacilitate communication between departments to ensure alignment and efficiencyCompliance & DocumentationManage licensing, permits, and required business documentationMaintain compliance-related records, contracts, and insurance documentationSupport onboarding processes, including new hire documentation and setupSystems & Process ManagementMaintain office systems, including phone systems and internal toolsCoordinate with IT for equipment setup, troubleshooting, and system needsIdentify opportunities to improve processes and streamline workflowsAdditional ResponsibilitiesAssist with cross-functional tasks across accounting, HR, and operationsPrepare reports and support leadership with administrative insightsManage storage, records, and document retention processesHandle special projects and additional responsibilities as neededQualifications5+ years of office management or administrative leadership experienceExperience in a fast-paced or operational environment (construction or similar industries is a plus)Strong organizational skills with the ability to manage multiple prioritiesProficiency in Microsoft Office, especially Excel (formulas, reporting, data analysis)Strong communication and interpersonal skillsAbility to problem-solve, troubleshoot, and think proactivelyExperience managing staff or leading administrative functions preferred Company DescriptionMilliner Talent Solutions is an Indianapolis-based staffing partner specializing in Accounting, Finance, HR, Administrative, and Customer Service talent.
