Program Coordinator
Job Summary / PurposeThe Program Coordinator supports the end-to-end intake, coordination, and administrative processes that enable smooth program delivery at Adam’s Purpose. This role ensures participants are effectively onboarded, workflows run reliably across programs, and data is accurate and actionable. The position plays a critical role in maintaining operational consistency in a growing, mission-driven environment where success is defined by efficient intake conversion.1. Intake Management & Participant OnboardingManage the full intake process, including outreach, intake calls, onboarding, and tracking of forms and enrollment statusMonitor program capacity and ensure timely progression of participants through intake stagesMaintain clear and consistent communication with participants throughout onboarding.2. Administrative & Program SupportProvide administrative support across scheduling, outreach, and internal coordinationSupport outreach activities through communication and engagement effortsEnsure organized tracking of tasks, timelines, and coordination workflows.3. Event & Donor Coordination SupportCoordinate logistics for outreach events, including scheduling and guest list managementSupport on-the-ground execution of eventsTrack donor interactions and payments, ensuring accurate and updated recordsMay occasionally need to assist on Saturday events, typically only once or twice a month4. Program ManagementEnsure participants meet requirements and are prepared prior to program startCollaborate with the Program Manager to maintain smooth workflow execution5. Data Management & Reporting AccuracyMaintain accurate and up-to-date participant records in CRM and tracking systemsTrack enrollment, participation, and program data against timelinesCreate reports and summaries to support program and leadership decisions on a timely mannerRequired Qualifications & CompetenciesRequiredExperience in administrative coordination, program support, or intake coordination within a nonprofit, healthcare, or community-based settingExperience in CRM and workflow tools (e.g., monday.com, Salesforce, or similar platformsStrong data entry and data management skills with high attention to accuracy and detailAbility to manage multiple workflows and timelines with consistency and follow-throughStrong communication and coordination skills for engaging participants, teams, and external stakeholdersPreferredExperience in behavioral health, community outreach, or social service programsExposure to event coordination or logistics managementFamiliarity with donor tracking or development support processesBenefits: Values & Culture Alignment IndicatorsDemonstrates empathy and professionalism when working with grief-impacted individualsDetail-oriented and highly organized in managing data and workflowsTask-driven with strong accountability and follow-throughCollaborative and responsive to team and participant needThis is a grant-funded position.
