Sales Support Administrator

In this role, you will manage the end-to-end order lifecycle, from generating client quotes and processing orders in the ERP system to issuing purchase orders and tracking shipments with vendors. Acting as the primary liaison between the sales team, project managers, and external partners, you will ensure accurate record-keeping, resolve any order discrepancies, and provide timely updates to guarantee that client projects are delivered accurately and on schedule.Responsibilities:Quote & Order Management: Prepare accurate client quotes, process orders through the ERP system, and manage pricing, discounts, and budgets.Procurement & Vendor Relations: Issue purchase orders, secure vendor acknowledgements, and proactively follow up to ensure materials and shipments stay on schedule.Project Tracking & Delivery: Monitor the complete order lifecycle, tracking shipments, punch lists, and project phases to guarantee smooth, on-time delivery.Cross-Functional Collaboration: Act as the central communication hub between sales teams, project managers, clients, and vendors to keep all stakeholders aligned on project statuses and timelines.Quality Assurance & Problem Solving: Review supporting documentation, vendor invoices, and order details to quickly identify and resolve any discrepancies.Administrative Excellence: Maintain meticulous records in our order management systems, create and update client SOPs, and ensure all purchase-related information is flawlessly organized.Qualifications:Preferred Education: Degree in Business Administration, Supply Chain, Logistics, or a related field.Experience: 1 to 2 years of experience in sales support, procurement, or administrative roles. Prior experience utilizing an ERP or order management system is a strong plus.Language Proficiency: Advanced English (C1 preferred).Required Skills:Exceptional attention to detail and accuracy, particularly when managing pricing, coding, and documentation.Strong written and verbal communication skills to effectively coordinate with vendors, clients, and internal project teams.Proficiency in spreadsheet software (Excel/Google Sheets) and the ability to quickly adapt to new software and tracking systems.Excellent organizational and time-management abilities to handle multiple orders, track project phases, and meet deadlines.Ability to work independently, proactively resolve order discrepancies, and problem-solve in a fast-paced environment.
