This position oversees operations of the schools, board administration, organizational logistics, policies, transportation, special events, school safety and security, and maintenance and facilities. The ideal candidate is highly organized, collaborative, and able to manage multiple priorities in a fast-paced educational and nonprofit environment while exercising professionalism, discretion, and sound judgment. This position includes some evening and weekend commitments related to board and committee meetings, performances, tours, and special events.Job ScopeSupervises the Director of Facilities and Armed Security Officers.Essential Job FunctionExecutive Office & Governance SupportSupport the President | CEO & Superintendent in the coordination and execution of policy implementation and TEA's strategic initiativesCoordinate presenting all school district policies to the Board of DirectorsServe as liaison to the Board of Directors and support board governance operationsCoordinate board meetings, agendas, materials, communications, and logisticsMaintain official organizational files, records, and governance documentation to ensure complianceProvide training and support for board management platforms and board-related systemsPrepare reports, presentations, and correspondence on behalf of the Executive OfficeMaintain confidentiality and professionalism in all executive and board mattersSupport organizational communications and professional responses to inquiriesAssist with organizational development initiatives, strategic planning, and executive projectsOperationsServe as the school district's Safety and Security Coordinator – maintain all emergency operational manuals and annexes, document weekly door checks, lead safety and security committee meetings and audits, and maintain all requirements from the Texas School Safety Center and TEAOversee the Director of Facilities and ensure all schools and the equipment are properly maintainedServe as a backup IPM (Integrated Pest Management) Coordinator and participate with all trainingsWork with all facility vendors to ensure that adequate work is completed in the outlined timeframeOversee logistical coordination for rehearsals, performances, tours, camps, and special events for all school-related programsCoordinate venue logistics including stage setup, equipment, transportation, ticketing, merchandise sales, and facility usageServe as liaison to external vendors, contractors, transportation providers, and community partnersCoordinate all transportation operations for FWAFA and TeSA, including scheduling vehicles and drivers and maintaining the master transportation calendarOversee vehicle maintenance coordination and reconcile fuel and repair recordsCoordinate airline, hotel, charter bus, and travel arrangements for student and staff travelOrganize and manage travel documentation, medical forms, authorizations, and related compliance requirementsRecruit and coordinate volunteers and chaperones while maintaining required eligibility documentationManage operational calendars and scheduling for all school departments and organizational eventsSupport Directors with budgeting, purchase orders, requisitions, and operational planningOversee organization and inventory systems for supplies, materials, and costumesManage ticket sales operations and event-related financial trackingMaintain systems for student release and event accountability proceduresOrganizational Leadership & Constituent RelationsFoster a positive and collaborative organizational culture among staff, students, families, volunteers, and community stakeholdersSupport recruitment and retention efforts by effectively communicating the value of the organization's educational and artistic programsCoordinate and manage parent volunteers and community engagement efforts related to organizational programs and eventsAssist with short- and long-term operational and strategic planning initiativesSupport organizational goals through effective project management and operational executionDemonstrate passion for the organization's mission and commitment to excellencePerform other duties as assignedMental Demands / Physical Demands / Environmental FactorsTools/Equipment Used: Computer and peripherals;
