Organization, attention to detail and ability to work within tight time constraints and work well with other departments are all important for this position. The Bid Coordinator & Admin Clerk is often the first person this company who interacts with Customers, Visitors and Guests to our offices and warehouse, so a friendly attitude and pleasant demeanor are hallmarks of the position\nDUTIES:\n· Responsible for updating and maintaining current bid schedule\n· Scan and save all quotes, specifications, drawings, and addendums.\n· Maintains all quotes.\n· Post bid documents on bidding sites, follow up with vendors, making phone and emailing bid solicitations out.\n· Assist with creating and preparing bid proposal spreadsheets and worksheets.\n· Photocopies documents and plans\n· Prepares bid calendar and ensures timely completion of estimates.\n· Develops and maintains resource information on products, vendors, subcontractors, government requirements, etc.\n· Attending pre bid meetings and department meetings as required.\n· Assist as needed with pre qualifications\n· Deliver bids with accurate and complete information\n· Must be able to effectively cope with typical job stress.\n· Ability to multitask, prioritize and accomplish multiple demanding responsibilities at once.\nHere is the typical lifecycle of a construction bid:\nSolicitation: A client solicits bids on a project. They supply interested contractors with the relevant plans and specifications.\nDue diligence: After reviewing the details of the bid, you’ll want to visit the site to conduct an analysis and make sure you understand the project’s scope.\nSubmission: Contractors review the project documents, contact subcontractors, and crunch the numbers. Then they submit their bids by the required deadline.\nSelection: After receiving all qualified bids, the client chooses the winning contractor. As mentioned earlier, the decision often comes down to cost.\nFormation of contract: At this point, the client and contractor collaborate to confirm all details.\nDelivery of project: This stage is where the rubber meets the road.
