The practice encompasses corporate, civic, cultural, educational, transportation, residential, hospitality, office, retail, and mixed-use projects on a variety of scales.\n\nWe are looking for a highly skilled and experienced Project Accountant with a strong background in the Architecture and Engineering (A/E) industry to join our finance team.\n\nThe Project Accountant will be responsible for overseeing all aspects of project accounting and billing functions across a range of current projects. This includes project setup, budget maintenance, billing rate table setup, time and expense review, revenue recognition, invoicing, financial analysis and reconciliation, accounts receivable and collections, processing subconsultant invoices/payments, and project closeouts. This role will require a strong understanding of accounting principles, project financials, and the ability to manage multiple projects simultaneously. This position requires attention to detail, proactive communication, and the ability to work collaboratively with both the finance and project management teams.\n\nPosition Responsibilities:\n\nPrepare and issue monthly invoices for all projects, including complex agency projects such as SCA, TBTA and MTA, ensuring accurate and timely billing based on project milestones, terms of contracts and agreements.\nManage billing requirements for complex contracts, including progress billing, retainage, and change orders.\nEnsure accurate revenue recognition for each project in accordance with company policies and accounting standards.\nTrack and allocate project costs, including labor and subconsultant fees, ensuring they align with project budgets.\nRecord all cash receipts and notify relevant staff (PMs, Partners, Principals) when project-related payments are received.\nManage accounts receivable, track client payments, resolve billing discrepancies, and follow up on overdue payments.\nSet up new projects ensuring all necessary financial details—such as billing terms, billing rate tables, project budgets, and cost structures—are accurately entered and aligned with contract terms.\nMaintain and monitor project budgets throughout the project lifecycle, ensuring they remain accurate and up to date.\nReview and process subconsultant invoices and ensure timely processing and payment in accordance with contract terms.\nMaintain and manage relationships with consultants, ensuring smooth financial transactions and compliance with contract terms.\nCoordinate with Project Managers to review project financials, billing requests, consultant fee reviews and collections, ensuring alignment on all project related financial matters.\nPrepare monthly financial reports, including cash flow projections, budget vs. actual analysis, and project status updates for Project Managers and Senior Management.\nMaintain clear communication with clients, consultants, and internal teams regarding project-related financial matters.\nPrepare all necessary Deltek reports as requested and assist Project Managers in understanding project financials and provide training on the use of Deltek for project financials.\nEnsure all project financials are reconciled at project closeout, including final billing, cost analysis, and financial documentation for handoff.\nParticipate in project audits and assist in preparing financial statements for internal or external review.\nAssist the Marketing team with financial data and reporting requests to support proposal and marketing efforts.\n\nPosition Requirements:\n\nMinimum of 5 years of experience in all aspects of Project Accounting.\nBachelor’s degree in Accounting, Finance, or Business preferred.\nProject Accounting experience in Architecture, Interior Design and Engineering industry is required.\nProficiency with Deltek Vantagepoint is required.\nExperience with Microsoft Office and Outlook.\nExcellent written and interpersonal communication skills.\nMust be self-motivated, organized, detail-oriented, and able to work well independently and as part of a team.\nOccasional extended hours may be required to fulfill role responsibilities.\n\nAll qualified applicants will receive consideration for employment and will not be discriminated against on the basis of race, color, religion, sex, sexual orientation, national origin, age, disability, or protected veteran status, transgender, gender identity or expression, observance of the Sabbath, political activities, caregiver status, unemployment status, use of a service dog, criminal/arrest record, credit history, lawful use of any product or lawful recreational activities when not at work, traits historically associated with race, religious attire or facial hair, reproductive health decisions, citizenship or immigration status.
