PROPERTY & FACILITIES MANAGERPosition SummaryWe are seeking a highly organized, resourceful, and hands-on Property & Facilities Manager to oversee the day-to-day operations, maintenance, and improvement projects across a portfolio of residential and commercial properties. This is a dynamic "jack-of-all-trades" role that combines facilities management, vendor coordination, project oversight, property administration, and executive support.The ideal candidate is proactive, adaptable, and comfortable managing multiple priorities simultaneously. They will serve as the primary point of contact for all property-related matters, coordinate vendors and service providers, oversee maintenance and improvement projects, and assist with various operational needs.KEY RESPONSIBILITIESProperty & Facilities ManagementManage the day-to-day operations of multiple residential and commercial propertiesServe as the primary point of contact for tenants, occupants, vendors, and service providersCoordinate and oversee preventative maintenance and seasonal property needsEnsure properties are maintained in a safe, functional, and professional mannerVendor & Contractor ManagementSource, evaluate, schedule, and manage contractors and service providers, including plumbers, electricians, landscapers, HVAC technicians, cleaning services, and other vendorsObtain quotes, compare pricing, and recommend solutions for property-related projects and repairsMonitor vendor performance to ensure quality work, timely completion, and cost effectivenessCoordinate seasonal services such as landscaping, irrigation/sprinkler activation and winterization, snow removal, and other property maintenance needsProject Coordination & ExecutionManage projects from initial assessment through completion, including planning, scheduling, budget coordination with Finance, vendor coordination, and follow-upTroubleshoot property issues and determine whether repairs can be handled internally or require outside expertisePerform light maintenance, repair, and facility tasks when appropriate and within skill levelTrack project progress and provide regular updates to leadershipEnsure projects are completed on time and within budgetAdministrative & Financial CoordinationMaintain records related to maintenance, repairs, vendor contracts, and property servicesWork with Finance to review, track, and coordinate invoices related to property operations and projectsWork closely with finance to ensure accurate billing, payment processing, and budget trackingAssist with lease-related coordination and tenant communications for commercial propertiesQualificationsExperience in property management, facilities management, operations, project coordination, or a related fieldStrong vendor management and contractor coordination experienceAbility to troubleshoot maintenance and operational issues and identify practical solutionsComfortable performing light maintenance and hands-on tasks when appropriateExcellent organizational skills with the ability to manage multiple projects and priorities simultaneouslyStrong communication and interpersonal skills with the ability to work effectively with tenants, vendors, contractors, executives, and family membersProficiency with Microsoft Office and general administrative systemsSelf-starter with strong problem-solving skills and attention to detailFlexible, dependable, and willing to assist with a wide variety of responsibilitiesPreferred QualificationsExperience managing multiple properties, both residential and commercialKnowledge of general building systems, maintenance practicesAny experience with the trades, construction, renovation projects, or similar would be a plusExperience reviewing invoices and vendor contractsFamiliarity with facilities management, property maintenance, or real estate operationsKey Traits for SuccessResourceful and solutions-orientedHands-on and willing to pitch inStrong sense of ownership and accountabilityProfessional and service-orientedAdaptable and comfortable in a fast-paced environmentExcellent communicator who can work effectively with vendors, tenants, and leadershipThis role is ideal for someone who enjoys variety, takes pride in keeping properties operating smoothly, and is equally comfortable coordinating major projects, solving unexpected problems, and handling the details that keep everything running efficiently.Salary is Negotiable
