The ideal candidate understands the security industry, has a sharp eye for detail, and thrives in a fast-paced environment where priorities shift quickly.\nKey Responsibilities\nScheduling & Staffing: Build, maintain, and optimize weekly shift schedules for all security personnel using our scheduling software. Rapidly fill open shifts due to call-outs or last-minute client requests.\nPayroll & Timekeeping Support: Audit guard check-in/check-out logs, cross-reference timesheets against the master schedule, and resolve discrepancies to prepare clean data for payroll processing.\nField Leadership Liaison: Act as the primary office contact for field Captains and Lieutenants. Help them process incident reports, track field equipment inventories, and relay critical client updates.\nOnboarding Coordination: Assist with the administrative side of hiring, including verifying BSIS Guard Cards, scheduling interviews, and tracking mandatory employee training records.\nClient Relations Support: Monitor incoming operational emails or calls from clients regarding scheduling changes or service feedback, routing urgent issues to ownership immediately.\nQualifications & Skills\nExperience: Minimum 2 years of experience in an administrative, logistics, or coordinator role. Experience working within a private security or patrol company is highly preferred.\nTechnical Savvy: Proficiency with security scheduling software (e.g., TrackTik, SilverTrac, WinTeam, or Deputy) and standard office suites (Microsoft Excel/Word or Google Workspace).\nProblem Solving: Ability to handle high-stress staffing situations (like a 4:00 AM guard call-out) calmly and resourcefully.\nCommunication: Strong verbal and written communication skills; ability to hold field staff accountable while maintaining professional working relationships.\nLicensing: Possession of a valid California BSIS Guard Card or a background as a field supervisor is a major plus, though not strictly required for this office role.\nHospitality & Client Relations: Deliver a boutique, high-touch customer service experience to clients, property managers, tenants, residents, and visitors. Build and maintain positive professional relationships through prompt communication, attention to detail, and proactive follow-up. Assist ownership and field leadership with client requests, service enhancements, special projects, and issue resolution while ensuring all interactions reflect the professionalism and responsiveness expected of Security First. Support client retention efforts by helping create a consistently exceptional service experience.\nCustomer Service Mindset: Demonstrated ability to provide exceptional customer service with a hospitality-focused approach. Experience in concierge services, hospitality, luxury residential, property management, hotel operations, or high-end client-facing environments is highly desirable.
